Key Responsibilities & Duties
Some of the key responsibilities and duties include, without limitation:
Primary responsibility for the co-ordination of the management of promotional activity from a master data standpoint, this includes but is not limited to:
Coordination of catalogue submissions from Category Managers
Preparation and co-ordination of catalogue brief to Marketing team
Co-ordination of product data base for all Advertising copy and imagery
Entry of datasets into Pronto for promotional activity
Preparation of Catalogue Financial reports (pre and post catalogue)
Co-ordination of Catalogue POS Ticketing with Visual/Space Merchandise Team and
Co-ordination of supplier and store promotional confirmation advice, including reporting.
Co-ordinating all supplier and product data administration and reporting, this includes but is not limited to:
ensuring supplier information data integrity
ensuring supplier range listing data integrity
ensuring Pronto integrity
promotional data administration and
producing the standard reporting (weekly reporting and monthly EOM reporting).
To produce standard reports and spreadsheets for the Product Department as and when required by the Category Managers and or General Manager Merchandise, this includes but is not limited to:
Supplier Range listing for product and price review
Category information and product grouping
Suggested order quantity maintenance and
Weekly & Monthly Sales by Category KPI'S.
To provide business administrative support to the Merchandise Department, including but not limited to:
Supplier documentation and communication, which includes:
Price change preparation and confirmations
Catalogue information and line selection price confirmation and
Confirmation of any data updates and changes.
Store documentation, which includes:
Catalogue information
NFAC catalogue confirmation and follow up and
Data collation for new stores and any collated orders.
Co-ordinating the record keeping and archiving for Product, Accounts, Training, Retail Operations and Store Operations Department, including RSM's.
Responding in a timely manner (no more than 24 hours) to stores on daily product advice on behalf of the Category Managers.
Preparing documents: - photocopying, collating and binding for:
State and NFAC meetings
Category Managers supplier and store presentations and
New stores and supplier information packs.
Administration management of Weekly Merchandise Team Meetings:
Preparation of meeting agenda
Management of meeting minutes
To ensure effective communication is undertaken in relation to:
Marketing regarding catalogues and advertising brief, updates and changes.
Suppliers regarding
Product updates
Catalogues and
New stores
Category managers in order to ensure a smooth and productive day to day running of the business.
Provide support and back-up for reception as required.
Providing back up support to the Master-data Co-ordinator in the management of the structure, accuracy and timeliness and flow of master data and information to the business.
Other tasks and duties as directed
Experience and/or Qualifications
Proven Administration experience, preferably gained in a retail buying office environment
Data base management experience
Skills
Good Organisational Skills
Excellent communication skills, both verbal and written
Accurate data entry and eye for detail

Documentation and Filing
Ensure that all documentation and filing is done to Company Standards and in a timely fashion.
Ensure that all filing is completed and kept up to date including archiving practices as per Operations Manual
Preparation and editing of LAM policies and procedures in the Operations Manual
Ensure that all processes and systems that are covered by the area of responsibility of the position are accurate and kept up to date, prior to the updating of the Operations Manual
Ensure that appropriate File Notes are taken of relevant conversations with Franchisees, Suppliers or contacts and that these are filed in the general filing system
