Provide front desk reception duties, managing internal and external stakeholders professionally and promptly. Maintain a clean, safe, and presentable reception area, equipped with all necessary materials. Offer beverages to visitors in meeting rooms.
Manage incoming calls by operating the switchboard, screening, and directing calls appropriately.
Oversee all aspects of meeting rooms, including coordinating and scheduling external client meetings. Provide technical support, such as uploading presentations and facilitating Teams/VC connections.
Handle business travel arrangements, including coordinating flight and accommodation bookings. Maintain records of business travels for internal audit purposes.
Take responsibility for postal and courier services, both locally and internationally.
Maintain an adequate stock of stationery and pantry supplies. Verify invoices and provide procurement support by sourcing related vendors, evaluating quotations, and making recommendations.
Provide facilities management support to ensure the efficient and effective delivery of logistics and support services in the office environment.
Requirements:
Degree/Diploma with a min of 3 years of relevant working experience.
Excellent command of spoken and written English.
Proficiency in Mandarin is advantageous for interacting with Chinese-speaking clients.
Strong communication and interpersonal skills.
Customer-service oriented mindset with a strong ability to work well in a team.
Working knowledge of Microsoft Office suite (Word, Excel, PowerPoint, Outlook), and previous administrative experience is preferred.
