- Facilitate booking of meeting rooms and visitor desks (3 external, 6 internal)- Dialing in to Video Conference meetings- Working with Office assistant to set up visitor desk- Answer, screen and transfer of telephone calls- Provide clerical and administrative duties- Onboard visitors and new joiners to SLT app- Assist with uploading of invoices and maintaining proper records- Facilities management, liaising with building management/landlord- Maintaining contracts with vendors (filters for water dispenser, plants, fire extinguishers etc.)- Maintaining front of house, liaising with SLT cleaners- Incoming and outgoing mails/parcels, DHL, FedEx- Events (name badges, reception, catering)- Maintaining of pantry and office stationery supplies- Fire Warden / First-Aid Trained for Junior Secretary- Covering secretary for 4 partners and 6 associates- Travel arrangements - flights/hotels/airport transfers- Calendar management (meetings, restaurant booking etc.)- Expense reimbursements- Conflict Searches, Matter opening, KYC/AML- ACRA searches, e-Litigation searches- Time Entries- Redline and document comparisons- Documentations (engagement letters, GW draft letters, PowerPoint)- Printing/Scanning, Document BindingsHOW TO APPLY :Interested applicants, please submit your updated resume & a recent photo in MS Word format to :sue@officesecretaries.com.sgPlease state your availability, current & expected salaries for processing purpose.
