Position Summary:

The Sales Coordinator primary role is to perform general office duties to support Sales team e.g. filing, sending emails, copying, maintaining Customer and company profiles, and preparing month end reports. Should assist in selling guest rooms, catering services and banquet facilities as directed by the department head.

Sales Coordinator Duties and Responsibilities:

\xc2\xb7 Serve as the point of contact for clients and communicate with them by phone and email to respond to questions and requests. Answer client / bookers questions about property facilities/services.

\xc2\xb7 Generating reports, preparing proposals, coordinating with clients & suppliers.

\xc2\xb7 Prepare sales-related documents throughout the sales process (e.g., proposals, contracts, banquet event orders, CVGR Letter).

\xc2\xb7 Gather materials and assemble information packages (e.g. brochures, promotional materials, sales demo kit, welcome kit, souvenir etc.).

\xc2\xb7 Assist sales team by managing schedules, filing important documents and communicating relevant information. Arrange and co-ordinate meetings, events and any appointments.

\xc2\xb7 Record, transcribe and distribute minutes of meetings.

\xc2\xb7 Meets with clients in the absence of the Director of Sales or Sales Managers; perform hotel site tours with potential clients.

\xc2\xb7 Print Daily Sales reports for each sales managers and submit to Director of Sales.

\xc2\xb7 Print Sales manager productivity reports for each sales managers and submit to Director of Sales.

\xc2\xb7 Ensures all documents produced by the Sales Department (i.e. BEO\xe2\x80\x99s, contracts, rooming lists, proposals) are completed accurately and on time.

\xc2\xb7 Respond to complaints from customers and give after-sales support when requested.

\xc2\xb7 Ensure the adequacy of sales-related equipment or material are available at all times.

\xc2\xb7 Other duties as assigned by Director or the management.

Candidate Profile

Education & Experience

  • Excellent customer service skills.
  • Friendly, customer centric, smile and able to work in a team environment.
  • One or more years of experience working in a hotel, clerical or sales. Previous experience working in a similar role.
  • Diploma in business management
  • Good computer skills
  • Proficient in the use of Microsoft Office (Word, Excel, PowerPoint)
