Provide full secretarial and admin support such as arrangement and co-ordination of internal and external meetings, conferences, scheduling of meal engagements with clients, etc
Booking of the restaurants for customers luncheons and dinners and also liaising with the restaurant for the food menu
Manage and maintain calendar for the Group and Business Heads
Prepare responses to correspondence on routine inquiries
Prepare local and overseas travel expense claims; facilitate travel arrangements; periodic submission of reports
Set up and maintain necessary filing and other office systems for the team
Support in any other department administrative/operational matters
Prepare presentation materials, including PowerPoint decks
Attend to the needs of the Group and Business Heads including trouble shooting of related IT issues and liaising with the Technology team on the specific requirements
Assist the team for team building requirements and occasionally sit in the team meetings to understand the needs of the team
Support claims reimbursements
Ad hoc assignments of work by the Group/Business Heads
Qualifications
Qualifications
Candidate must possess at least a Professional Certificate / NiTEC, Diploma or Advanced/Higher/Graduate Diploma
At least 8 year(s) of working experience in the related field is required for this position
Preferably candidates specializing in Secretarial/Executive & Personal Assistant or equivalent
Technology savvy and skilled in using various computer applications.
Proficiency in MS office in particular Excel, Word and PowerPoint, Outlook, OneNote
Ability to multi-task and is resourceful
Ability to work under pressure
High adaptability and flexibility in the working environment
Excellent verbal as well as written communication skills to facilitate positive client interaction
Meticulous, discreet and possess good interpersonal skills
