Assisting with the preparation of proposals, contracts, and other documents. - For e.g. Sales Quotations, filing (contracts, quotations, tenders)
Sales RCN processing and follow through when required
Samples processing
Samples Operation - Management and administration of sample operation processes and tools including troubleshoot issues related to sample tools and processes (where applicable) - Collaborate with SECCD colleagues in the cluster to implement Sampling Management processes
Ensure all sample processes are consistent and in compliance with internal regulations. - Support reporting requirement from Commercial Teams
Assisting with the preparation of proposals, contracts, and other documents e.g. Portfolio Contracts
Generating reports and analyzing data to support sales and marketing decision making
Preparation of meeting slides as required
Assist in department meetings e.g. catering during foreign colleagues visit
Providing administrative support to the sales and marketing team, such as scheduling travel, processing expenses, and managing calendars
Maintain and update customer database
Attend training, provide all the dates
Support in audit as required
Raise any requisitions in Smartsource, such as purchases including, DHL services, cell phone bills, cisco recall rental, stationery, photocopier/printer, catering, etc. for Commercial Team
Prepare necessary paperwork for payments and submit to finance whenever invoices for the above are sent.
Work with finance whenever there is cross-charge of expenses and follow-up when necessary
Maintain photocopies of all invoices and payments for tracking purposes
Check and request quotation from vendors; follow-up on invoices
Managing inventory levels of promotional materials
Planning and execution of local market M&E events (e.g. internal/external meetings, speaker programs, congresses) including event logistics, ensuring the event compliance, payments, cost savings measurement, tracking and reporting, attendee management, client & vendor relationship management and provide on-site support where needed.
Acting as subject matter expert for commercial team to assist with company process, policy to ensure all M&E related processes and business rules are consistent with internal and external regulations.
Support creative solutions to meetings which may include virtual and other cost-effective options
Vendor/supplier management where required to deliver on M&E activities
Maintain Speaker Database
Job Requirements: Min Diploma in Secretarial or similar w min 2 yrs of relevant experience in supporting sales & marketing team
