We are seeking a highly organized and professional Executive Secretary / Office Administrator to provide comprehensive administrative and executive support to management. The ideal candidate will ensure smooth office operations, manage daily administrative activities, and handle confidential matters with discretion.
Key Responsibilities:
Provide executive-level secretarial support to management, including scheduling, correspondence, meeting coordination, and documentation.
Manage day-to-day office operations, including administrative tasks, office supplies, and facility arrangements.
Prepare reports, presentations, and meeting materials as required by management.
Monitor and coordinate business activities to ensure deadlines and priorities are met.
Liaise with internal departments, external partners, and vendors on behalf of management.
Handle confidential information with professionalism and maintain an organized filing system.
Support the planning and coordination of company events as needed.
Requirements:
Diploma in Business Administration, Management, or a related field.
Minimum of 3-5 years of relevant experience in executive secretarial or office management roles.
Strong organizational skills with the ability to multitask and prioritize effectively.
Excellent written and verbal communication skills.
Proficient in Microsoft Office (Word, Excel, PowerPoint) and general office software.
Discreet, professional, and able to manage sensitive information with confidentiality.
Bilingual in English and Chinese.
