Senior Administration Officer








Job Purpose

  • Responsible for the day to day administrative functions of the Rail Ops Division.



Responsibilities
  • Work collaboratively with all departments in Rail Ops (NSEWL) on management of suppliers.
  • Supply/demand planning, inventory management and order fulfilment.
  • Conduct end to end procurement processes from request to supply, including coordinating the preparation of RFQ.
  • Process purchase requisitions in accordance with procurement policies and procedures. (via SAP & Ariba system).
  • Maintain office supplies and general inventory.
  • Assist the Departments\xe2\x80\x99 Fixed Assets officers to manage fixed assets related work such as additions, transfer, condemnation and disposal of fixed assets.
  • Administer High Security keys (HSK) for NSEWL; Maintain record of keys issued to and held at NSEWL; Update all key movements; Liaise with Supplier to replace lost / damage keys; Inform HR or other relevant departments for penalty payments for lost keys.
  • Administer the Access Control Management System (ACMS) for access into KCD Building. Assist Manager on updating of AMS access to KCD for NSEWL.
  • Co-ordinate & Administer RFID cards and access for all NSEWL stations; Updating, issuance & encoding of RFID cards; Provision of RFID audit trails for investigation purposes as and when requested.
  • Assist in general administration matters such as liaising on housekeeping matters & recycling matters, point of contact for telecommunication matters, etc.
  • Administer the Change in Working Hours in the SAP system.
  • Coordinate the Motorcycle / Motorcar Parking Decal for NSEWL stations.
  • Coordinate the SMRT Warrant Card and Station Duty Pass
  • Any other job-related duties as assigned by the Manager.



Qualifications & Work Experience
  • Diploma in any relevant field

Technical skills include:
  • Good report writing skills, Microsoft Office Skill, Skill in Customer service and Problem-solving skill
