The Office of Academic Services plays a key role in advancing the University\'s educational goals through implementing and administering the academic policies established by the University\'s academic body. We provide academic services for students from the time of their matriculation to their graduation.The job holder will manage the day-to-day operations for the graduation functions, including the following:Manage the monthly preparation and issuance of degree certificates, official transcripts and other graduation/academic documents to graduates.Manage the annual procurement of the graduation items including liaison and follow-up with the vendors and relevant stakeholders.Engage partner universities and relevant stakeholders on graduation documents for Joint Degrees and seek approval for deviations from policies.Liaise with various Departments/Colleges/Schools to manage students/graduates/alumni appeals, requests and enquiries in accordance with established policies and guidelines.Support policy and process reviews and assist in the implementation of new initiatives, process improvements and system enhancements.Liaise with appointed system vendors and CITS to implement new systems, system enhancements, troubleshoot and resolve system issues or errors.Assist in the implementation of IT system changes and the new Student Management System, including gathering and provision of information and specifications to appointed vendor and performing user-acceptance-tests.Maintain and update relevant webpages and FAQs.Assist in the digital transformation, cross-team projects, data requests, analytics and governance related matters for the Office.The position holder is required to work closely with a diverse group of internal and external stakeholders in managing the areas listed above so as to innovate student experience and optimise operational efficiency in the administration of academic services to students, graduates and alumni.RequirementsA recognised university degree (in any discipline) with at least 5 years of relevant working experience in administration, preferably in the tertiary education sector.Service-oriented mind-set with excellent interpersonal and communication skills.Meticulous and organised with an eye for detail.System and data-saavy; comfortable handling large volume of data records and documents.Proficient in proposal and report writing, office IT applications and Microsoft Office suite of applications.Able to multi-task and work independently and under pressure to solve problems with minimum supervision and within tight deadlines.Strong organizational, leadership and project management skills.Familiar with the Personal Data Protection Act, in relation to collection, use and disclosure of students and graduates\xe2\x80\x99 personal data.Knowledge and exposure to SQL and RPA would be an added advantage.Hiring Institution: NTU
