We welcome you to join our community of faculty, students and alumni who are shaping the future of AI, Data Science and Computing.Job Responsibilities:Course Administration, Timetabling and RegistrationOversee course registration and ensure that the process has been conducted in accordance to the university\xe2\x80\x99s and school\xe2\x80\x99s policies, guidelines and deadlinesCheck and ensure that all students have successfully registered for their required course after the course registration exercise.Oversee exam matters, ensuring compliance with University policies.Manage the coordination of class timetable, modules allocation to students to ensure optimal learning.Oversee, facilitate and ensure timely and relevant placement of students for the internship and the exchange programmesProvide academic and administrative advisory support services to students including responding to and management of student emergencies locally and in overseasPerform completeness checks on proposals submitted for new programmes and for request for change of curriculum by FacultyAdminister and ensure fair distribution of teaching assignments for academic faculty, teaching assistants and postgraduates for undergraduate courses offered in the semesterExaminationLiaise with faculty members, undergraduate coordinators of other schools and Central Administration in the planning of examination schedules and ensuring no clashesEnsure all examination matters are administered in line with the university\xe2\x80\x99s policiesManage pre-exam preparation and post-exam processing which includes exam scheduling, post exam processing (marks checking and processing, checking of reports, exam result appeals, special consideration, academic awards and graduation matters).Coordinate and facilitate the examination results appeal and review process and update student(s) timely on the decisionAcademic Program Management and Student AdministrationLead and manage staff to ensure smooth operations in student academic matters and program advising.Oversee timetabling management, course registration and exam matters, ensuring compliance with University policies.Oversee the running of Masterclass courses, including the partnership and liaison with External Professors, Industry Partners and stakeholders.Work with the Academic Planning Team to achieve program objectives.Perform completeness checks on the submission of proposals by faculty for new programmes and curriculum change.Manage partnerships for student exchanges and internships.Implement and update procedures for overseas learning programs.Oversee academic and administrative advisory support services to students including responding to and management of student emergencies locally and in overseas.Assist with study abroad applications and related administrative tasks.Handle communication between NTU, partner universities, and students.Manage admission and scholarship applications, including shortlisting and program offers.Participate in selection meetings and address inquiries from prospective students and parents.Collaborate with Scholarship and Campus Housing for scholarship benefits and housing.Ensure proper governance of scholarship processes.Administer student orientation and graduation processes.Other AdministrationManage budgeting, study abroad funding, teaching claims, and other financial matters.Prepare progress reports, audit statements, and budget statements.Manage the Scholarship website and intranet for updated program information.Work with the Outreach Team on publicity and events.Report policy deviations and propose corrective actions.Prepare and maintain reports and statistical information.Timely reporting of deviations to current policy requirements and guidelines and propose/initiate rectification actions.Review and recommend opportunities for process alignment or enhancement for the school\xe2\x80\x99s Undergraduate Department using university wide policies and guidelines as a reference.Study the enrolment trends and patterns of withdrawal across the school and provide recommendation(s) to the Associate Chair (Academic) for his/her strategic planning discussion with the School BoardJob Requirements:Min. a Degree with 5 years of relevant experience, preferably in an educational institution.Good interpersonal skills and is customer centricIndependent, highly analytical, proactive and a team playerAble to utilize and leverage on software tools to optimize business processesProficient in Microsoft Office (Word, Excel, Outlook, PowerPoint). Efficient user of MS-Excel and macros.Highly organize and has good time management skillsAdaptable to changes quicklyAble to work in a highly demanding and fast pace environmentTactful and able to demonstrate empathy whenever necessaryAbility to lead a small teamHiring Institution: NTU
