Summary: The Senior Associate – Team Lead Board Support Services at Waystone is an integral part of the Fund Governance team, working closely with the Managing Directors, Directors, Associate Directors and Associates to ensure quality and consistent client service delivery. The incumbent assists with the management of a team of Associates and Senior Associates responsible for Board Support across our global offices, including but not limited to the Ireland, Hong Kong and Singapore Offices. Functions of this role will include the scheduling of meetings, preparing board packs, facilitating completion of post meeting action points and monitoring review and completion of meeting minutes. They service and maintain relationships for a portfolio of clients with complex structures and/or demanding needs and provide oversight and guidance on the portfolio of client relationships for their team members.

ESSENTIAL DUTIES AND RESPONSIBILITIES The Senior Associate – Team Lead Board Support Services will:

  • Assist the Board Support Manager with leading the global board support services team providing Waystone Board Support Services for a diverse, complex portfolio of clients including, but not limited to, organizing board meetings, liaising with all attendees, gathering and distribution of materials for presentation to the board of directors, drafting of board minutes and preparation of any related checklists, notices or agendas.
  • Set and monitor performance goals of team members including KPI’s; reporting to the business unit management on an ongoing basis. Ensure all team members are aware of board meeting service standards and that these needs are being met.
  • Regularly monitor team’s inboxes, work being processed and capacity and reallocate work among team members, as necessary. Ensure department provides support to Waystone teams to ensure appropriate and real-time information is included in all board materials and that a quality peer review is completed on all packs. Responses to emails should be provided in 24 hours and saving of emails to Salesforce should be completed within two weeks.
  • Monitors DEF status in workflow for board meeting minutes; follow up as appropriate with Associate Directors and Directors to ensure timely turnaround.
  • Share key learning and knowledge lessons at team meetings and on a real time basis.
  • Provide input to define appropriate exception and management reporting related to Board Support Services.
  • Coach and mentor the Board Support Department’s Associates and Senior Associates across all our offices. This will include our offices outside of Singapore, in particular Hong Kong and Ireland.
  • Foster a positive environment through open communication and willingness to get all assigned work completed.
  • Ensure team is analyzing Service Provider reports to ensure appropriate information is being captured and that they are reaching out externally to obtain missing/additional information as required
  • Identify opportunities for cross-selling Waystone products and ensure team knowledge of products is at standard required to make such recommendations.
  • Evaluate Risk involved with each situation and prioritize time and risk levels appropriately.
  • Keep abreast of regulatory changes.
REQUIREMENTS To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required.

Education:
  • An internationally recognized professional qualification;
  • A degree in Accountancy
Experience:
  • Minimum of 5 years successfully leading and managing a team of client service professionals.
  • Minimum of 10 years of hedge fund and private equities client service experience and strong working knowledge of hedge fund and private equities documentation and regulatory requirements
  • Relevant working experiences in Europe would be an advantage
  • A firm knowledge of Cayman Islands Mutual Funds law and Private Funds law, as well as a strong grasp of legal concepts.
  • Strong knowledge of various fund structure, i.e. segregated portfolio companies, limited partnership, limited liability company, master-feeder. Outstanding time management, organizational skills, oral/written communication skills, critical thinking and attention to detail is required.
  • Must be able to work in a fast paced environment including reporting and providing support to various members of the team.
  • Strong MS Office Skills; information management software experience is necessary at a senior level and SalesForce experience is preferred.
  • Corporate secretarial is preferred.
