Responsible for maintaining/implementing Driver & Vehicle Safety Framework (DEL-01-01) for sites & gas & gear within area of responsibility.
Responsible for ensuring compliance at Golden Rules & Driver Safety Policy
Responsible for the assurance that the following activity are being done and working: Driver Duty Hours Compliance & Monitoring, Pre & Post trip inspections, Compliance to Tire & Seatbelt, Compliance to Brake Testing as schedule, Compliance to Roadworthiness & Steering Test, Compliance of trucks, prime movers, trailers, ISO tanks & tanker to company Standard and Compliance to Green Folder Requirement (Transport Safety Directives) for plant sites & gas & gears.
Conduct validations of above mentioned activity to check compliance
Responsible for ensuring customer site & routes are properly assessed prior to any delivery
Carry out adequate risk assessment skill in new customers or site visited
Responsible for ensuring On Board Computer (OBC) violations are monitored and addressed
Coordinate and follow up with consequence management applied to those violators and secure copy for proof
Provide solution and agreed actions and including follow up to ensure those risks has been eliminate or reduce as agreed.
Conduct analysis on OBC violations to identify action to take to minimize the violation as well as the risk
Ensures compliance to distribution operations in all safety requirement
Practices Safety standard by training staff and having a well-maintained Fleet.
Participates in the incident investigations if any.
Responsible for ensuring all drivers and helpers are competent and properly trained.
Responsible to assist in conducting/ensuring that take 5 and toolbox meeting and have minutes of the meeting for proper documentation.
Coordinate with haulers and ensure compliance for all safety requirement
Ensure vehicle maintenance schedule & SAP PM.
Assist in compliance/ closure of Audit Action Points/ CARs appropriate to the location
Customers
Ensure schedule compliance of trips to customers based on orders
Come up with a daily bulk delivery schedule
Maintain close communications with key stakeholders in dispatch, customer service, sales, operations, transport and production to ensure timely completion of schedule and producing the most cost and operationally effective schedule daily.
Maximize time and capacity utilization of vehicles
Reduce product return or backloads to site by continuously improving the scheduling process.
Manage situations of product shortage, plant shutdown, vehicle shortage and any other situations that can negatively affect scheduling efficiency with the relevant stakeholders to ensure minimal stock outs.
Pro-actively inform customers of potential delays in delivery.
Ensures that all critical functions are in operations
Ensure availability of trucks for respective sites and related equipment.
Ensure timely and accurate submission reports
Ensure timely communication and coordination to all concerned
Prepare shipping documentation for gas and gear customers.
Internal Process
Accountable by ensuring timely and accurate reporting/submission such as but not limited to: Daily Trip Monitoring, Truck reliability, Next day delivery schedule, Early Morning Delivery, Issue Log, Duty Hours Monitoring, Service quality measures, OBC Violation Monitoring, Tire Management / policies, Take 5 / driver engagement and Toolbox Minutes.
Execute confirmation of delivery notes for bulk deliveries, PGP deliveries and gas and gear.
Send a weekly shipping schedule to Cylinder Supply Chain Management (CSCM) warehouse supervisors
Prepare delivery notes for gas and gear customers
Monitor deliveries via OBC and raise any potential issues immediately to immediate superior
Coordinate with Sales if there is unavailable product of possible delivery failure
Make a daily round in the plant to check status of fleets.
Ensures that all policies, procedures and work instructions affecting quality in the areas of operation are compiled and implemented at all times by their staff
Ensures that all documented procedures affecting their areas of operation are updated whenever these are proven to be ineffective
Responsible for the contractor management of the site
Implement Best Operating Practice & benchmarking
Conduct self-audit for transport operations
Execute maintenance schedule of all distribution fleet & related equipment
Ensure compliance of service providers to distribution standard operating procedure
Actively participate in maintenance of ISO/other accreditation
Ensure that defect monitoring systems are working and all defects raised are properly addressed.
Make coordination with country chambers of commerce to process certificate of origins for gas and gear customers
Financials
Improve Distribution KPI though efficient operations (cost/m3, cost/km, capacity utilization, time utilizations, etc.)
Assist in country programs and evaluates feasibility with impact to costs.
Responsible for executing/achieving GAP target for Distribution
Ensure delivery schedules are at optimum cost
Ensure accuracy of hauler billing (reliability, km run)
Ensure all trips have corresponding post trip processes executed in SAP
Check, validate and sign hauler billing to ensure accuracy (if applicable)
Requirements
Min. Diploma in Supply Chain with clear understanding of the logistics environment in the country.
Proficiency in using MS Office skills, SAP ( MM) module etc.
Ability to take quick decisions based on circumstances, data support system.
Good understanding of the internal and external interfaces.
Awareness about the statutory and corporate rules and regulations.
