MAJOR DUTIES & RESPONSIBILITIES
Specific
i. Coordinate the pre-interview activities including posting job advertisements in e-recruitment portal, interview scheduling and coordination, interview documents preparation, conduct reference check and qualification verifications.
ii. Prepare appointment letters, uniforms, and name tags and coordinate matters relating to the candidates\' job commencement.
iii. Verify and collate all relevant documents and certificates of candidates before job commencement of candidates.
iv. Ensure that staff employed are issued with the relevant work pass (where applicable) in accordance with MOM guidelines.
v. Supervise the co-ordination of pre-employment medical check-ups and verification of HRIS data inputs.
vi. Ensure e-files are properly documented according to audit requirements.
vii. Maintain and update employee\'s records in HR system.
viii. Process, arrange and complete all document for transfer, re-designations, contract renewals, resignations, etc., including the update of the staff database where applicable.
ix. Coordinate staff cross-nesting arrangements including liaising with other institution\'s HR, updating contact tracing template, where applicable.
x. Perform basic analysis to draw accurate inferences from data.
General
i. Provide coaching and guidance to junior Executive Assistants.
ii. Provide support for students\' attachments, career talks, open house, etc.
iii. Handle day-to-day HR administration activities such as attending to staff enquiries.
iv. Provide logistical support for HR events.
v. Perform secretariat duties.
vi. Assist with ad-hoc projects.
vii. Perform any other duties / projects as assigned by supervisor.
