Senior Executive Assistant, Resident/Patient Outreach & Engagement, RHSO Operations

Job Responsibilities

• Support implementation of engagement events and projects, including:

• Support the preparation of procurement process, meeting and event materials etc.
• Support in tracking event rsvp and updating database
• Support in engagement events when required
• Manage the inventory of marketing collaterals and coordinate the requisition
• Support in data collection and monthly reporting

• Provide secretarial and administrative support to Division

• Maintain team schedule and calendars for key personnel
• Organise internal and external meetings and events, and their relevant logistics including booking dates and venues, supporting events onsite etc.
• Manage the timely submission of purchase requisition, IT provision requests and HR requests etc.
• Manage office supplies requisition and requests.
• Organise and maintain databases e.g. team training records, event calendar, partners list etc., shared drives and contract management system
• Take meeting minutes

• Diploma in any discipline, preferably healthcare or event management related
• At least 1 years of relevant working experience
• Experience in events will be advantageous
• Familiarity with Singapore healthcare or social care will be advantageous
• Positive mind-set and willing to learn
• Meticulous and attention to detail
• Adept in people skills to foster collaboration
• Able to multi-task and work independently
• IT savvy and basic Microsoft Office skills; strong Excel skills is an advantage
