Job Description




Reporting to the Librarian for User Services, the Executive is involved in both repository management and user services. Responsibilities for the management of SUSS\'s institutional repository involve record management, compliance, and engagement. Responsibilities for user services entail supporting access, operations, and circulation matters as well as the management of the physical space, physical resources, equipment, and programming.

Job Responsibilities

The incumbent will lead the development of services related to scholarly communications that efficiently collects, organises, and archives the research and scholarly outputs to enable search and access. The position works closely with the Librarian for User Services to perform administrative and operational duties for user-centric library services to support the learning, teaching and research activities of the SUSS community. This position also works in liaison with the Provost Office, Centre for Applied Research and The Office of Graduate Studies as well as representatives from the various Schools and Centres.

The successful applicant will work in a lean team environment and is responsible for the following:

  • Maintain institutional records of research and scholarly works such as journal articles, books/book chapters, working papers and proceedings, dissertations and theses, reports, datasets...etc., ensuring accuracy and metadata consistency of data entry for ease of access and discovery.
  • Perform data verification, metadata linking and merging of records.
  • Work closely with the technology team to ensure seamless integration with the repository, library system, and the Research Information Management System.
  • Oversee copyright matters and access rights for the repository.
  • Generate institutional repository usage reports for stakeholders and provide administrative support where necessary.
  • Coordinate with various stakeholders to advocate scholarly sharing and open access including developing plans for training, publicity, dissemination, and promotion.
  • Respond to queries on all matters related to the repository with timeliness.
  • Support the librarian in policy and procedure matters.
  • Provide administrative and operational support for user-centred services at the library space for the SUSS community.
  • Review and refine guidelines and procedures for service desk operations and circulation services.
  • Manage the user and access services at the service desk, including supervision and rostering of temporary staff (students and part-timers).
  • Perform duties at the service desk which includes handling of user enquiries, requests for loans and reservations and library membership.
  • Oversee collection maintenance of library\'s collection of physical resources, including stock taking and weeding of collection.
  • Provide guidance to users on the use of physical spaces, resources, and equipment such as media kiosks, borrowing stations, discussion rooms, scanning stations and others. Ensure that all equipment is in good working condition and a pleasant environment is provided for our users.
  • Resolve and troubleshoot all matters related to user and access services and oversee the feedback received and the escalation of complaints and incidents.
  • Plan, schedule, and coordinate events, exhibitions, workshops, and library tours
  • Plan, develop, and manage the publicity and promotion of library events, resources, and services, and oversee all digital notices and announcements in the library.
  • Engage in continuous professional development and serve the Library and University through representation in internal and external committees, where required.
  • Provide research assistance and other onsite and online library services and operations as required. Will be required to work some evenings and weekends.
Job Requirements
  • Possess a recgonised degree with 1-3 years of experience in providing and managing library user services and/ or institutional repositories/records management preferred.
  • Proficient with library management systems (e.g. Alma), institutional repository system, finance systems, electronic resource management systems, linking and authentication tools.
  • Proficient in word processing, spreadsheet, and presentation software.
  • Strong understanding of copyright, intellectual property, fair use, open licensing, and open education pertaining to scholarly communication and academic publishing.
  • Excellent organisational, analytical, and problem-solving skills.
  • Highly service-oriented with excellent interpersonal and communication skills.
  • Strong attention to detail.
  • Ability to work independently as well as foster teamwork and collaboration with internal and external parties.
  • Ability to work according to changing daily priorities, to shift between multiple tasks effectively and thrive in an evolving work environment.
