Job Description

The Office of Commercial and Auxiliary Services (OCAS) oversees the management of estate leases and commercial services (such as leasing of spaces for F&B, amenities & lifestyle services) and auxiliary services (such as car parks and shuttle bus services) for NTU\xe2\x80\x99s main campus, Novena campus and NTU@one-north campus.

This position is responsible for operational excellence of offices, F&B and retail outlets, services of Childcare Centre, Medical Centre, among others, on the NTU main campus, preparing of lease agreements / licence and service agreements and finding the right tenants for units available for lease. The Senior Executive, Operations Engagement & Analytics will engage actively with other Offices in NTU as well as student bodies in meeting the needs of the NTU community. The key functional contributions from the Senior Executive, Operations Engagement & Analytics include:

Conducting daily site inspections of leased premises, to ensure that tenants adhere to all lease terms and conditions.

Handling administrative duties, assisting in the compilation of ground audit inspection forms / audit findings in a simple and timely manner. Following-up on non-compliance and guiding operators in resolving matters in a collaborative manner.

Assisting in reviewing tenancy fitting-out plans, documentary submission relating to maintenance & repairs works/ fitting-out works/ reinstatement works, authorizing work commencement, monitoring fitting-out compliance, conducting activities relating to procedures in handing over and taking over of units, in fitting-out work completion and in pre-opening inspection.

Guiding tenants on the related applications with the relevant departments in NTU and ensuring that the tenants fulfil the agreed lease terms and conditions.

Recommending and implementing continuous improvements to the current audit automation system according to contractual or regulatory compliance. Reviewing and streamlining processes to improve team\xe2\x80\x99s productivity via automation and use of technology.

Identifying any operation gaps and process improvements, and implementing necessary changes.

Requirements:

Degree in Real Estate Business, Facilities Management, Building, Hospitality or related field. Diploma holders with extensive experience may be considered.

At least 3 years of experience in managing shop operation for commercial leases and Food and Beverage (F&B) position, preferably in a diverse F&B, hospitality and events environment.

Minimum 3 years of direct involvement in tenancy fit out applications and tenant management in a commercial set up.

At least 3 years of direct or indirect exposure to environmental safety, food safety & hygiene standards set by the relevant government authorities.

Has an interest in retail operation with a focus on F&B brands.

Possesses a good understanding of tenancy related processes, with the ability to read and understand technical drawings and floor plans.

A deep understanding and appreciation of customers\xe2\x80\x99 needs and experience.

Logical thinking skills to find suitable solution or recommend appropriate course of action.

Ability to apply organizational requirements to operational work processes.

Enjoy working collaboratively as a team or cross functional interaction within NTU.

Approachable, enjoy tenant engagement with good communication skills, both verbal and written.

Enjoy moving around the campus to understand issues and challenges faced by tenants and stakeholders on the ground.

Proficient in Microsoft Office Applications particularly Excel, Words and PowerPoint presentation.
