The Office of Campus Housing (OCH) serves to make NTU, the university with the best-in-class campus for learning, working, and living. OCH has a mission is to provide optimal on-campus living environment for students and faculty in excel in learning, research, teaching, and other NTU related work. It is responsible for student and faculty housing on campus, the sports and recreational facilities, and its related services.
We are looking for individual who have a strong passion for delivering exceptional service to residents of the University's faculty housing on campus.
This role offers the successful candidate the opportunity to develop, contribute, and grow holistically across key functions in customer relationship management, facilities and contract management, as well as quality and corporate support functions (e.g. finance, billing, service quality management, etc.) within the Department.
Whether you are a entry level candidate with a bachelor's degree or a diploma holder with at least 3 years of relevant experience in residential services, housing operations, or contract and corporate support, we welcome you to apply. Prior experience in managing student hostels, staff housing or hospitality services will be an added advantage.
The incumbent is required to:
Serve as the first point of contact for faculty residents and their families, attending to enquiries, requests, feedback, and complaints across multiple channels including ServiceNow, email, phone calls, and over-the-counter interactions.
Facilitate a smooth end-to-end experience for faculty housing admissions, including housing application processing, unit assignment, pre-arrival preparation, and check-in coordination.
Conduct site viewings of housing units for incoming or prospective residents and follow up with necessary administrative arrangements.
Draft and disseminate communications and advisories to residents, such as notices on scheduled maintenance, unplanned disruptions, or community updates, ensuring clear and timely communication.
Maintain accurate and up-to-date records of resident particulars, tenancy information, and housing availability using the Housing Management System (HMS) and other relevant platforms.
Support the timely and accurate submission of utilities readings during check-in and check-out to facilitate proper billing and record-keeping.
Coordinate and support the booking and preparation of shared facilities or venues under Faculty Housing, ensuring readiness and compliance with usage guidelines.
Administer basic procurement tasks such as drafting specifications for service needs (e.g. welcome kits, events support), evaluating quotations, and assisting with preparation of procurement documentation in accordance with procurement policies.
Provide support in policy compliance by advising residents on housing rules and regulations, identifying breaches, and escalating recalcitrant cases for further action where necessary.
Assist in investigations and incident documentation, including retrieval of CCTV footage, access logs, and preparation of case reports.
Participate in stock takes, manage asset records, and support the disposal of obsolete inventory in line with university procedures.
Collaborate closely with the Faculty Housing team and other internal departments to ensure seamless service delivery and uphold a high standard of resident experience.
