  • Responsible for the service delivery of a broad spectrum of HR Operations\xe2\x80\x99 activities including talent acquisition support, new hire onboarding, employee database management, payroll processing, end to end benefits administration, global mobility administration, expatriate & tax administration reporting requirements as well as process documentation and improvements.
Essential Duties & Responsibilities:Employee (Local/Expatriate/Local Plus) Data Management
  • Coordinate Day 1 new hire onboarding program and 2-day new hire orientation program including site visit
  • Work with all process owners on schedule, site visit, and provide briefing on HR policies & guidelines
  • Employment pass and dependent pass gatekeeper and ensuring application are processed on time
  • Position and employee data maintenance - Manage and ensure the accuracy of data-entry for employee records and cost center tracking & changes in Peoplesoft, Payasia, and any other related systems and keep vendors (Pangroup, etc.) posted on the changes required
  • Personnel file maintenance; Preparation of documentation as well as ensuring filing of relevant documents
  • Coordinate with hiring manager on new hire announcement and distribution
  • Run monthly reports for data audit and update organization charts
Talent Acquisition
  • Employment letter generation
  • New hire candidate set up in Baxter systems
  • Manage contingent staff documents (contract renewal, timesheet checking and invoice verification)
Payroll Administration
  • Administer the Payroll for Singapore. This entails ensuring payroll delivery on time; liaising with payroll vendor, and working with managers on timely submission of incentive payments, overtime, allowances; cash awards, bonus, as well as claims filing such as national service claim, third leave maternity benefits claim, etc.
  • Address payroll-related queries
  • Ensure changes to employee records are updated
  • Establish internal controls and measures to track and complete documentation for future audits
  • Audit and complete year end reporting
  • Ensure compliance to all statutory requirements
Employee Policies & Benefits Administration
  • Generate letters such as employment certification. long service award, change of job titles/transfers, promotion, etc.
  • Address questions in relation to benefits entitlements
  • Enrollment and termination processing
  • Validation of medical claims and tracking
  • Update and maintain the e-Leave system
  • Administration of the Long Service Recognition Program
  • Adhere to the HR policies
Employee Communication & Programs
  • Coordinate on employee activities, and communicate to employees, apply for grant or reimbursement where applicable
  • Coordinate posting all employee announcements or policies and general updates on the intranet on a monthly basis.
Employee Termination
  • Preparation of acceptance of resignation letter, request leaver report from Payasia; and update workbook to IPC on termination in systems
  • Prepare full & final settlement letter
Expatriate Tax Administration
  • Obtain Compensation details from home country, stock options if applicable, and benefits-in-kind, and compile all information and send it to KPMG
  • Manage all queries from KPMG and check with home countries
  • Check all calculations provided by KPMG
Process Ownership
  • Provide day to day operation support of HR operations\xe2\x80\x99 processes including issue resolution, process enhancements and maintenance of current documentation.
  • Preparation of year-end required reporting & associated statistics
  • Participate in internal, external payroll and benefits audits
Skills & Qualification:
  • Strong knowledge of HR operations processes and good understanding of local labor law and legislation
  • Disciplined action with sense of urgency on follow up and follow through on tasks and meeting deadlines
  • Ability to communicate effectively, be a team player; demonstrates strong work ethics
  • Flexible and adaptable to organization changes and customer changing needs; ability to deal with ambiguity
  • Good critical thinking and problem solving, able to connect the dots in various processes and systems
  • Ability to work in challenging and fast paced environment
Education & Experience:
  • Degree/Diploma in HR or relevant discipline
  • Minimum 5 years of experience in HR Operations & generalist role with payroll experience
