Supports the Assistant Director (Transformation) in executing and managing transformation initiatives under the PA Community 2030 Implementation Plan across PA.
Overseeing the day-to-day execution of specific projects within the transformation portfolio, managing cross-functional teams, and ensuring that transformation goals are achieved on time and within budget.
Works closely with various PA units to align efforts with PA's strategic priorities, and provide leadership in implementing process improvements, digital tools, and change management practices.
Key duties and responsibilities that need to be performed to meet the primary objective of the job. This will include the important result areas (what) along with the rationale (why).1. Project Management:
Lead and manage specific C2030 transformation projects or workstreams, ensuring their successful delivery within scope, budget, and timeline.
Develop detailed project plans, define milestones, and coordinate with workstream leads or appointed POC to ensure all tasks are completed efficiently.
Track project progress, identify and mitigate risks, and manage issues that arise during the course of the project.
2. Cross-Functional Collaboration:
Work closely with workstream leads and divisional directors to ensure collaboration and alignment on transformation initiatives.
Facilitate coordination between various workstreams to ensure that dependencies are managed and that transformation efforts proceed smoothly.
Act as a liaison between the Transformation Office and C2030 Implementation workstreams to communicate project goals, timelines, and requirements.
3. Process Improvement:
Lead efforts to identify opportunities for process improvements within the organisation, driving initiatives that increase efficiency and enhance customer experiences.
Work with workstream leads or appointed POCs to redesign processes and implement changes that streamline operations and enhance overall performance.
Use data analysis and performance metrics to assess the impact of process improvements and make adjustments as necessary.
4. Change Management:
Support the Assistant Director in executing change management strategies that promote the adoption of new systems, processes, and technologies.
Develop communication plans to ensure that all stakeholders are informed and engaged throughout the transformation process.
Assist in creating training programs and resources to support employees in adapting to new tools and workflows, reducing resistance to change.
5. Stakeholder Management:
Build and maintain strong relationships with key stakeholders, ensuring their needs and expectations are met during the transformation process.
Manage stakeholder communications, providing timely and accurate updates on the progress of initiatives.
Facilitate workshops, meetings, and discussions to engage stakeholders in problem-solving and decision-making around transformation efforts.
6. Performance Monitoring and Reporting:
Track and monitor key performance indicators (KPIs) to assess the success of transformation initiatives.
Prepare reports, dashboards, and presentations that provide insights into project performance, resource utilisation, and overall progress toward transformation goals.
Regularly report to the Assistant Director and Senior Management on the status of projects, highlighting any potential challenges or successes.
7. Risk and Issue Management:
Identify risks and issues that may impact the successful delivery of transformation initiatives and work with relevant teams to develop mitigation strategies.
Escalate high-priority issues to the Assistant Director as needed and propose actionable solutions to resolve them.
8. Staffing:
Provide secretariat support for Transformation Committee
Provide regular updates to CMM to facilitate informed decision-making.
ExperienceMinimum - At least three years of working experience.Desired - Experience in grassroots and community work.Strong analytical and problem-solving skills.Proven experience in managing cross-functional projects.Experience in stakeholder management.Experience in managing budgets, resources, and delivering measurable outcomes.Only shortlisted candidates will be notified.
