Job Description


:The Senior Operations Executive will play a crucial role in overseeing and managing the day-to-day operations of construction projects, from initial planning through to completion.This role requires a hands-on professional who can manage multiple projects simultaneously, coordinating with various stakeholders, and ensuring that all project goals are met on time, within scope, and on budget. The ideal candidate will have experience in retail space planning, flair for luxury retail store designs, technical drawings, project management, renovations/upgrades, and liaising with millwork vendors, retailers, contractors and suppliers. It also includes operational support to the sales managers.Job Responsibilities:Constructions Project Management

  • Oversee and manage all construction projects in the region, including capex budgeting annually.
  • Plan, execute, monitor, and complete projects within the allocated budget and timeline. Develop detailed project plans, including schedules, budgets, resource allocation, and risk management strategies.
  • Work with designers and contractors for retail space layout and accurate execution of brand guidelines. Work with internal stakeholders to plan for products display zonings and visual merchandising.
  • Liaise with Contractors/Millwork Vendors/Retailers/Internal Depts for execution of Point-Of-Sales constructions and upgrades.
  • Review detailed and technical drawings to ensure most efficient and best executions of millwork.
  • Identify and implement best practices and process improvements to enhance project delivery and efficiency.
  • Actively address project challenges, identify and manage escalated issues, and support teams in balancing competing priorities.
  • Coordinate and oversee vendors to deliver solutions that meet project requirements, adhere to timelines and budgets, and comply with security guidelines.
  • Ensure compliance with all relevant laws, regulations, and company policies.
  • Promote safety and quality standards throughout the project lifecycle.
  • Quality control checks on millwork fabrications and handover of every project, with rectifications and follow ups.
  • Initiative and suggestions to improve, looking into details of the furniture and fixtures whenever possible.
  • Handle documentation related to project management, including contracts, purchase orders, invoices, and other paperwork. Maintain accurate records and ensure proper filing of all project activities.
Renovations, Constructions & Closure of POS
  • Conduct regular on-site visits to monitor renovation progress. Develop timelines and schedules to ensure projects stay on track.
  • Expense tracking for all points of sales constructions.
  • Timeline and progress tracking for all projects.
  • Following up closely with contractors, fabricators, and suppliers to ensure timely delivery of materials and services. Monitor and report on project progress, identify potential issues, and implement corrective actions as needed.
  • Manage on-site activities, coordinate with subcontractors, and resolve any operational challenges that may arise.
  • Serve as the main point of contact between clients, retailers, suppliers, and other stakeholders. Ensure clear and effective communication, address any concerns, and maintain positive relationships throughout the project lifecycle.
  • Weekly updates and reports for all projects under construction.
  • To travel when necessary for millwork checks and store handovers.
Operations
  • Generate reports and provide support for presentations preparations whenever needed.
  • Preparation and dissemination of materials/communications. E.g. Letters to retailers for price changes, pricelists/catalogues for different currencies, etc.
  • Store openings preparations eg ensure IPAD app is installed for all new boutiques & stores, stationeries for stores, uniforms, co-ordinations with depts to ensure all stocks and materials are delivered on time for operations.
  • Maintain inventories for boutique stationeries, uniforms, gift with purchases, etc.
  • Store closure logistics - to arrange for all props to collect back when there is a closure or relocation, managing the furniture and fixtures, etc.
  • Communicate with marketing on needs for operational needs eg display props, stationeries, sales support materials, etc.
  • Working with the visual merchandising and sales team to maintain the VM displays for all SEA boutiques, corner and multi brands stores. Marketing department to provide initial standard guideline.
  • Ensure POS are well maintained, POS materials in good conditions and products well presented in every POS. Regular market visit for Singapore and remote maintenance for all export market.
  • Replenishment of all props & catalogues to the shop stores if necessary. Requisition of these items to be made from marketing.
  • Work with inter-departments for smooth implementation of display guide, shipments and deliveries. Coordinate delivery of props/catalogues for all POS including boutiques.
  • Ensure the latest information is updated on the iPads for all POS. Regular updates of POS images to be saved in shared folder for easy access to management.
  • Serve as the first point of contact for maintenance issues. For instance, lock, lighting, furnishing, etc. Follow through and liaise with handy men & contractors for quick executions.
  • Shop stocks maintenance. E.g., any quartz model stopped. Battery change is required, arrange for shop manager to have back office to arrange to send to our aftersales service centre.
  • Worn off straps condition of watches. Liaise with Sales Manager to decide if change is necessary.
  • Pricelist for events.
  • Support the team to ensure all launches are well implemented in each store with the right planogram and visual merchandise.
  • Assist as and when there are launches, events, etc whenever required.
  • Co-ordinating of WPHH appointment with all retailers.
  • Perform other ad-hoc duties as needed to meet business needs.
