The Job

Responsibilities include:

Support Category and Retail Managers (70%)
  • Assist Category Managers in the processing of all incoming deals from agents, and preparing all relevant materials to facilitate speedy approval.
  • Generate the appropriate reports from our database to facilitate the analysis of licensees' health and performance by Category Managers.
  • Support in forecasting and quarterly business review decks.
  • Tracking and get approval for retail programs and owning the marketing budgets.
  • Follow through with maintenance and storage of live event equipment, including inflatables and costumes, via working closely with Live Event Licensees, Agents and warehouse facilities.
  • Timely dissemination of latest marketing materials (e.g. sell sheets, pitch kits, movie trailers, sizzle reels, Point of Purchase templates, product samples, premiums, etc) internally and to agents.
  • Manage the inventory in our warehouse/storage space
Maintain the Purchase Order (PO) system (20%)
  • Prepare POs for all office purchase requests or marketing spending and obtain the appropriate approvals from management and Finance.
  • Maintain the PO registry for Finance team.
  • Review with Finance on outstanding bills against POs monthly.
Assisting the Head of Consumer Products (10%)
  • Full spectrum of secretarial and administrative support to Vice President and management team:
  • Executive travel arrangement.
  • Prepare travel requisitions and Time and Expense reports.
  • Schedule and organize meetings and conference calls.
  • Logistics, venue and travel arrangements, invitations and RSVPs for key events and conventions.
  • Follow up on any time sensitive issues, and ensure they are appropriately responded to.
  • Support the business head in the follow-up of key deals and business matters.
  • Key contact point for Warner Bros. Consumer Products Singapore office, e.g. answer enquiries from potential licensees.
  • Additional projects/duties as assigned.
Ideal Candidate

Skills Required:
  • Degree Holder
  • Minimum of 3-5 years experience on providing secretarial support to Executives in multinational companies
  • Experience with licensing, FMCG industry is an advantage
  • Communicate effectively and tactfully with all levels of personnel, in person, in writing as well as on the telephone.
  • Strong team player.
  • Detail Oriented
  • Excellent organization skills.
  • High integrity to maintain confidentiality at all times regarding confidential and business information obtained by virtue of the post.
  • Able to work well under time constraints.
  • Able to handle multiple tasks with changing priorities, communicating changes in scope and schedule to all parties concerned.
  • Ability to work independently.
  • Able to work flexible hours, including possible overtime, when necessary.
  • Good command of spoken and written English
  • High proficiency in Microsoft applications e.g. Outlook, Word, Excel, PowerPoint.
