The Role We are looking to grow our sales operation team to work alongside our Travel Consultants to ensure an exceptional standard of guest service is delivered through meticulous attention to detail, thereby delivering accuracy in our documentation, invoicing and booked services. This role will be ideal for a professional with experience in a sales operation function who is seeking their next opportunity with excellent career progression and development. Responsibilities
  • To be a core component of the team by dovetailing operational requirements with the Travel Consultant\xe2\x80\x99s sales responsibilities, ensuring efficiency and accuracy
  • To diligently adhere to operational process and to escalate instances where this is not being followed by the team
  • Confirm all holiday arrangements, supplier bookings/invoices are correct and ensure guest documentation is completed to the highest standard
  • Act as a second pair of eyes, spotting discrepancies and areas for possible error
  • Ensure a timely collection of balances
  • Obtain and accurately record all required information from guests on behalf of the Travel Consultants
  • To prepare and send guest documentation (electronically and via the Scott Dunn app prior to dispatch) in a timely manner
  • When required, organise any additional extra elements for the holiday such as excursions, restaurants, spa treatments in conjunction with the Travel Consultant \xe2\x80\x93 notably in busy departure periods
  • To attend supplier meetings, and training to ensure total immersion in the destinations offered, including from time-to-time visiting countries as part of a familiarisation trip
Duties The duties that derive from these responsibilities include but are not exclusive to:
  • To reject bookings that do not meet the agreed operational standard passing them back to Travel Consultants to be updated
  • To support team members with their workload as and when necessary
  • To provide the Management team with regular feedback on the quality of bookings and highlight where processes have not been followed
  • Train sales teams on current and new processes and operational practices.
  • To ensure that we remain consistent as a team and that our processes are regularly reviewed to enable us to continuously provide our guests with the best service
6. Support our sales team with the entire guest journey
  • To communicate, document and maintain the policies and procedures on the platforms and sub-departments within Sales Operations
  • To identify improvements within our sales process
  • To assist the Sales Operations Manager and Head of Sales Operations with projects designed to improve efficiency, as required
  • Such other duties as management may reasonably require from time to time.
Essential requirements
  • Successful candidates will have a track record of working in a similar position for at least 2 years
  • Minimum of 2 years\xe2\x80\x99 experience of working in the Luxury sector serving HNW & UHNW segments.
  • Demonstrable attention to detail, ownership of accuracy
  • Ability to work to deadlines and prioritise effectively
  • Strong organisational skills and able to juggle multiple tasks
  • Interest and understanding of luxury service and guest expectations
  • Self-motivated with a proactive and positive attitude
  • Genuine passion for luxury travel would be beneficial
