Job Description


The Senior/Executive Assistant will provide operational support to the Planning and Partnerships & Membership team of the Population Health Office (PHO). PHO is part of the Population Health Campus (PHC) under the National Healthcare Group (NHG), the regional health manager for the 1.5 million residents of central and north Singapore. PHC cares for central and north residents with a full range of healthcare services across Primary Care, Community Care, and Population Health Management. Working closely with hospitals, general practitioners, and community partners, PHC joins up health and social care for our residents to keep them healthy and well.Major Duties & Responsibilities

  • Managing appointments and other administrative work such as claims for the designated principals.
  • Supporting Planning and Partnerships & Membership teams' admin and logistics:
  • Coordination and logistics set up of multi-stakeholders' meetings in HQ and off-site locations.
  • Preparation of documents including approvals, appointment letters, etc.
  • Collation of data from different sources, data entry, analysis using excel or equivalent software.
  • Supporting the organisation and running of events and activities by Planning and Partnerships & Membership teams:
  • Support team's outreach and engagement efforts for events/ activities such as the following (not exhaustive):
  • Planning and preparation leading up to the events/ activities (including engaging vendors and administration of budget)
  • Coordination and logistics set up for the events/ activities.
  • Manage and track inventory of marketing collaterals.
  • Maintaining a Knowledge Management system which work include:
  • Ensuring efficient filing of paperwork, documents, and computer-based information in shared drives
  • Maintaining the shared drives
  • Retrieving relevant papers and documents from the shared drives
  • Managing access rights to the shared drive
  • Any other ad hoc duties as assigned by Reporting Officer
Job Requirements
  • Minimum Diploma Holder
  • Proficiency in Microsoft Office applications
  • Prior experience in an EA role or equivalent would be preferred.
  • Strong communication and interpersonal skills
  • Able to work independently
  • Meticulous and possessing strong organisation skills
