Senior/executive, Frontline Ops Logistics

Job Description


Job Purpose

Reports to the Planning & Innovation Senior Manager, the Frontline Ops Logistics Senior/Executive will lead and supervise a team of Administrative Officers in supporting Rail Ops Division day-to-day administrative and logistics functions.

Responsibilities

  • Oversee, plan and coordinate administrative procedures and systems, and devise ways to streamline processes
  • Plan and monitor the Budget for Ops Support Department cost centre and ensure adherence to approved budget allocation
  • Perform monthly reviews of overall budget vs actual spending and determine reasons for the variance
  • Manage the Purchasing & Requisition Function for Rail Ops with attention to budgetary constraints
  • Manage the assets for Rail Ops and inventory of office supplies and equipment; maintain documentation and keep records of assets and inventory
  • Manage office services for office, including the upkeeping of the office
  • Administrator and Process Owner for Station Stationery Ordering System for NSEWL. Liaise with Digital Office on system audit annually
  • Oversee the co-ordination & administration of RFID cards and access for all stations
  • Coordinate, manage and track the issuance of High Security Keys
  • Organise, support and supervise other office activities such as company\'s Dinner & Dance, Celebration Functions, Chinese New Year distribution of Ang Pows & mandarin oranges, etc
  • Oversee the supervision of personnel, which includes work allocation, training, promotion, enforcement of internal procedures and controls, and problem resolution; evaluate performance and make recommendations for personnel actions; motivate employees to achieve peak productivity and performance
  • Provide administrative support to other departments or projects as needed
  • Other ad-hoc work assigned from time to time
Qualifications & Work Experience
  • Degree of any discipline
  • Proficient Microsoft office - Excel, Powerpoint
  • Hands-on knowledge in SAP, Ariba System is preferred
  • Strong communication and writing skills to collaborate effectively with internal and external customers
  • Able to multi-tasks , manage expectations and timeline
