Senior/leasing Administration Executive

Job Description


Duties and Areas of Responsibility: Prepare and follow up on leasing contracts and other lease-related documents

  • Assist with new lease creation
  • Process lease renewals and terminations
Conduct due diligence checks on tenants including AML checks when necessary Prepare marketing collaterals and initiate activities that can increase exposure of properties
  • Listing current and predictable vacancies on all pertinent platforms.
  • Coordinate all marketing campaigns and activities including placement of advertisements and on online platforms
Perform other administrative support to the real estate department, including but not limited to filing, archiving, etc.
  • Update and maintain tenant\'s database and prepare reports when required
  • Maintain an efficient and effective document system to meet service quality standards
  • Maintain soft copy files for all floor plan and tenant as built as requested
  • Abstract all new leases, enter and manage all lease notes maintaining critical dates and tickler files
  • Create and maintain a system of tracking expiration date of leases
Work with property management to ensure certificates of insurance are current Organise marketing, team and agent events for the real estate team Assist in conducting market research and preparation of reports Prepare for lease audits Managing the commission calculation and payment process Manage all other tasks that may be assigned from time to time You are expected to perform additional responsibilities that will be assigned from time to time as your role matures and progresses over time.

Qualifications:
  • \xe2\x80\x9cO\xe2\x80\x99 Levels/\xe2\x80\x99A\xe2\x80\x99 Levels/Diploma

Desired Experience and Attributes:
  • Self-motivated and strong analytical skills
  • Attention to detail, prioritization skill and time management
  • Able to multi-task and keep track of priorities
  • Detail-oriented, analytical and computer literate with proficiency in Word, PowerPoint, Excel, Outlook, etc
  • Excellent internal and external customer service
  • Reliable with excellent verbal communication skills.
  • Able to work in a team and produce quality output under tight deadlines
  • Preference for relevant experience in lease management
  • Prior knowledge in conducting KYC checks
  • Extensive knowledge handling real estate leases including handling lease document is essential
