Operation Associate (Temp Role)
Vertiv Singapore is seeking a temporary Operation Associate for 6 months to 1 year to support our Service Operations team. In this role, you will play a key part in ensuring the smooth running of daily operational activities, managing reporting processes, and maintaining accurate documentation. The ideal candidate is detail-oriented, highly organized, and capable of handling multiple tasks efficiently in a fast-paced environment. You will collaborate closely with internal teams, including sales, engineering, and service operations, to ensure timely and accurate execution of operational processes, while contributing to the overall efficiency and success of the team.
Key Responsibilities: * Process and submit daily invoices to customers via portal and email, including all supporting documentation.

  • Generate and document monthly Operations KPI reports from Power BI into Smartsheet.
  • Maintain monthly subcontractor revenue reports in Smartsheet.
  • Update weekly pipeline forecasts for small Time & Materials (T&M) projects.
  • Update weekly startup forecasts.
  • Update weekly contract forecasts.
  • Compile and update monthly NPS and CSAT data.
  • Assist in the monthly business report compilation and review for Service Operations.
  • Conduct monthly analysis of Forecast vs Actuals for Contracts, T&M, small T&M, startup projects, batteries, and spare parts.
  • Generate monthly GR reports for customers with GR requirements (e.g., Netlink, Singtel).
  • Process contract terminations as requested by customers, sales personnel, or engineers.
  • Raise monthly EPRs for calibration of tools.
  • Raise monthly POs for customer portals for invoice submissions.
  • Maintain housekeeping of quotation and OPF approvals.
  • Maintain housekeeping of engineers' field service reports.
  • Process new service contract submissions into the ORACLE system and retain all contract documentation.
  • Raise requests for customer entity or billing addresses as needed.
  • Order quarterly service report hardcopy booklets when supplies are low.
Requirements:
  • Minimum 2 years of experience in operations or service administration.
  • Strong organizational and administrative skills.
  • Proficiency in Power BI, Smartsheet, and ORACLE systems is a plus.
  • Detail-oriented with the ability to manage multiple tasks efficiently.
  • Good communication skills for effective interaction with internal teams and customers.
Duration: 6 months - 1 year
