Position Overview: As a Site Lead with FM (Facilities Management) experience, you will be responsible for the overall management and operations of a specific property or portfolio of properties, with a focus on facilities management. You will oversee the maintenance, repair, and functioning of the site\'s physical infrastructure and systems. You will work closely with the property management team, clients, and vendors to ensure that the site is operating efficiently, effectively, and in accordance with industry best practices and regulatory requirements. This role requires strong leadership skills, technical expertise in facilities management, and the ability to handle multiple tasks and prioritize effectively.

Key Responsibilities:

Facilities Management:

  • Oversee the maintenance, repair, and operation of the property\'s physical infrastructure, systems, and equipment.
  • Establish and implement preventive maintenance programs to ensure optimal performance and longevity of assets.
  • Coordinate and supervise facility-related services, including janitorial, security, landscaping, and HVAC maintenance.
  • Monitor vendor performance, ensure compliance with service level agreements, and handle contract negotiations.
Property Management:
  • Collaborate with the property management team to ensure the smooth operation of the property/portfolio.
  • Coordinate with leasing and marketing teams to address physical infrastructure requirements for potential tenants.
  • Support lease administration, rent collection, tenant relations, and compliance with lease agreements and regulations.
  • Conduct regular property inspections to identify maintenance issues, safety hazards, and opportunities for improvement.
Financial Management:
  • Prepare and manage facility-related budgets, monitor expenses, and optimize cost-efficiency.
  • Review and approve facility-related invoices, ensure accurate and timely billing, and negotiate vendor contracts.
  • Analyze financial statements and provide regular reports on facility-related expenses and performance.
Tenant and Stakeholder Relations:
  • Serve as the main point of contact for tenants regarding facility-related matters, addressing their concerns and resolving issues.
  • Build and maintain strong relationships with tenants, vendors, contractors, and other stakeholders.
  • Conduct regular tenant meetings to address feedback, improve tenant satisfaction, and identify opportunities for improvement.
Team Leadership and Development:
  • Provide leadership, guidance, and support to property management and facility management staff.
  • Oversee recruitment, training, and performance management of facility management professionals.
  • Foster a positive and inclusive work environment, promoting teamwork and professional growth.
Risk Management and Compliance:
  • Implement and maintain appropriate risk management strategies for facilities, ensuring compliance with safety regulations.
  • Develop and implement emergency response plans and procedures.
  • Stay up-to-date with industry best practices, regulations, and technological advancements in facility management.
Qualifications:
  • Bachelor\'s degree in Facilities Management, Engineering, Business Administration, or related field (preferred).
  • Several years of experience in property management and facilities management, including experience in a leadership or supervisory role.
  • Strong knowledge of facility management principles, practices, and regulations.
  • Excellent communication and interpersonal skills.
  • Proven ability to build and maintain positive relationships with tenants and stakeholders.
  • Strong financial acumen and experience with budgeting and financial analysis.
  • Proficiency in property management and relevant facility management software.
  • Technical expertise in managing various building systems such as HVAC, electrical, plumbing, and fire safety.
  • Strong problem-solving and decision-making skills.
  • Valid real estate license (if required by local regulations).
  • Ability to travel to property locations as needed.
