Providing administrative support to the department;
Preparing written communications and reports;
Drafting correspondence, schedules, memos, spreadsheets, PowerPoint presentations, and other documents from notes, dictation, and other sources;
Proofreading and editing documents for accuracy and format; distributing documents as instructed; maintaining calendars; coordinating and scheduling meetings, training sessions, appointments, and making travel arrangements;
Receiving and screening internal/external visitors/guests;
Receiving, screening, and directing telephone calls to appropriate agency, department, or individuals; Providing information to callers; maintaining filing system, including establishing and updating files, sorting, grading, verifying, filing and retrieving office documentation;
Establishing and maintaining new and specialized files according to prescribed methods;
Tracking time/attendance; assisting with processing of travel and other expenses;
Preparing, sorting, prioritizing, logging and distributing incoming and outgoing mail; and
Maintaining specialized logs, mailing lists and tracking systems; performing special projects, as required.
Job Requirements:
Min. Diploma holder with 2 years working experience
Excellent communication skills is a must
Meticulous and able to handle numbers is a must
Proficient in more than one language
Proficient in Microsoft Office
