Job Description


Job Purpose

As an Administration and Facility Management Supervisor, you will be responsible for managing the corporate offices - daily operations and maintenance of premise facilities, to ensure a conducive working environment.

Responsibilities

1) Management & Administration

  • Liaise with landlord on building related matters
  • Assist the Admin/FM Manager in the process of tendering, evaluation, recommendation and awarding of contracts.
  • Assist the Admin/FM Manager in the maintenance of policies and procedures for facility management, operations, maintenance, administration, and ensure proper documentation on all processes
  • Assist in the preparation of budget, monthly management reports, etc.
2) Maintenance of Facilities
  • Supervise all term contractors and ensure that they deliver the contractual level of service standard
  • Manage & monitor the efficient operation of the office\'s systems and equipment (i.e. meeting rooms reservation system, access card management system, etc.)
  • Manage and setting up basic audio-visual equipment.
  • Oversee and manage the capex works, enhancement works, repairs & maintenance works including contract documentation.
3) Safety & Security
  • Liaise with landlord on scheduled building fire drills and act as Fire safety coordinator for inspections
  • Manage office security surveillance systems
  • Monitor issuance of building gantry access card and access card management system
4) Others
  • Convene, conduct, or support premise inspections
  • Support in setting up of events held in office
  • Perform the coordinator role for the Business Continuity Management (BCM) framework
  • Support any ad-hoc duties & projects assigned by management & supervisor
Qualifications & Work Experience
  • Diploma in Building/Facilities Management or equivalent, and preferably with three (3) years relevant working experience
  • Knowledge in statutory requirements, Energy Reduction and Sustainability Programs
  • Fire Safety Manager Certification (good to have)
Skills

Generic skills include:
  • Strong people management, written & communication skills
  • Able to work independently as well as part of a team in a constantly evolving environment
  • Proficient in MS Office- Word and Excel
  • Prepare to work after office hours (if require)
