Job Description

The Supply Chain Executive is responsible for supporting the company's shipping, inventory, procurement, and store functions. This is a desk-bound role that requires independence, attention to detail, and cross-departmental support. Training will be provided through on-the-job exposure, as this position is newly created. The role will evolve into a key supportive function for Store, Operations, and Supplier Management, requiring the ability to perform duties with minimal supervision. The ideal candidate is dynamic, respectful, hardworking, and adaptable.


Key Responsibilities


Procurement & Sourcing



Source and obtain quotations from a list of approved suppliers.


Generate Purchase Orders (POs) in the ERP system after customer orders are confirmed.


Support supplier communication via email and ensure timely order processing.


Shipping & Logistics



Incoming Shipments:


Receive shipments and validate against Purchase Orders (PORs) in the ERP system.


Unpack and hand over items to IQA (Incoming Quality Assurance) for inspection.


Outgoing Shipments:


Prepare and verify shipping documents.


Coordinate with freight forwarders for pickup via email or online booking.


Ensure all packaging meets company standards (each box under 9kg).


Monitor and maintain stock of packing materials; replenish as required.


Returns & Rework


Create paperwork for Purchase Returns (PR) or Purchase Order Rework (POR) in ERP.


Prepare and ship items (from FQC) back to suppliers for return or rework.


Inventory & Production Support



Create new part numbers (P/No.) and Bills of Materials (BOM) for projects or new purchases.


Generate Manufacturing Orders (MOs) in ERP to support production schedules.


Maintain and update the Production Schedule (Excel) with details such as POR, MO, customer POs, part numbers, and shipment statuses.


General



Perform other duties as assigned.


Uphold professionalism and a proactive attitude at all times.


Requirements


No prior experience required; training will be provided.


Proficiency in Microsoft Excel and basic ERP system usage preferred.


Strong attention to detail and ability to work independently.


Good communication skills (written and verbal).


Positive, adaptable, and team-oriented mindset.
