About The Role


The Team Assistant’s role is to work alongside their function and to support the administration and management of their teams. This means taking responsibility for incoming and outgoing workflow, facilitation of relationships between the function leads and their direct reports and to share information with the Function Leads that will support and enable the effective delivery of their teams goals and objectives.

Accountabilities



The Team Assistant will support the following areas:
  • Co-ordinate and assist the functional leads with diary and time management support, meeting coordination, AV and catering needs.
  • Arrange internal and external events and meetings including bookings, venue hire and set-up, catering, related travel arrangements and invoicing
  • Team meeting agenda preparation and minute taking as required
  • Assist in the collation and distribution of documents and updates
  • Arrange travel, accommodation and travel itineraries, ensuring adherence to Zespri’s Travel Policy
  • Assist with arrangements for visits by offshore Zespri staff
  • Assist with team induction requirements
  • Arrange stationery and business cards and coordinate archiving and checking of registered office mailbox regularly
  • Organise birthday and other celebrations
  • Manage the collation and storage of documents
  • Acting as a back-up for other Team Coordinators / Assistants in the wider Singapore Office
  • Other tasks as required

  • Proactively participate in all functional team meetings
  • Take ownership of personal development and actively engage your manager in this process
  • Understand and operate within all Zespri policies and guidelines, and seek clarification if unsure of any policy position
  • Assist with the implementation of organisational policies and procedures in their function area
  • Behave in a way that is consistent with Zespri values, and be prepared to hold your manager, functional leaders and colleagues to the same set of behaviours

Other tasks:
  • Complete other tasks, assignments and projects as requested on an ad hoc basis that are within your capabilities


Qualifications & Experience


  • Ability to work both autonomously and within a team effectively

  • Outstanding organisational ability, proactive with effective planning and time management skills

  • Personal flexibility, with the ability and confidence to self-manage while having a diligent approach to working through tasks, often requiring minimal supervision
  • Works well in a high pressure environment with the ability to positively cope with challenges and competing deadlines
  • Shows initiative and has the ability to work creatively and relate well to others in a team environment, and across the wider business at all levels
  • Uncompromising customer service
  • Natural team participant demonstrating outstanding support and cooperation
  • Outstanding keyboard expertise and technical ability, making good use of all available technology. Good knowledge of Microsoft Suite.
