We are looking for a Team Lead, Administration to join our Administration team in Neste Asia Pacific.

Our administrative services team plays an important part by supporting the people and growth. The team consisting of the lead and 4 administrative assistants supports other functions in their daily operations at our refinery in Tuas, at our Innovation Centre in Science Park 2 and at our commercial office in Suntec Tower One. You will be based at the Suntec office but as the entire team, support all locations in Singapore and thereby frequent visits also to other locations are expected. For this permanent position, we are hiring a talent who is keen to serve different functions with even greater quality, in order for us to achieve our common organizational goals. In this role, you will

  • Lead the administrative services team; develop people and enable their results
  • Work closely with different local Leadership teams to support the achievement of common organizational goals
  • Coordinate, align and agree with other stakeholders the administration related processes and responsibilities
  • Coordinate, communicate, and perform administrative tasks for effective overall administrative performance. For instance, organizing company events and managing transportation arrangements and services
  • Develop administrative processes and implement them. For instance, your and the team\'s role is critical in ensuring functioning expense and travel management processes
  • Ensure general compliance of the company by developing, implementing and following that all necessary internal administrative policies are in place and clearly communicated to the employees
  • Administrate all office infrastructure related matters in all 3 locations
  • Administrate and coordinate legal and Board of Directors related matters with external partner
  • Administrate and coordinate contract management
  • Be a contact person for Corporate in administrative related requests and matters
  • Have other ad hoc duties to handle and coordinate as assigned by direct superior
You will work closely with your local team and in cooperation with multiple stakeholders especially in Singapore but also globally. You want to enable your team to serve our internal customers in the best possible manner and with quality and effectively, while at the same time ensuring that our corporate guidelines are being followed. Keys to success in this role

The best combination of experiences, skills and background is
  • Minimum 3 years of relevant work experience from managing office/administrative services
  • Service mindset and passion for continuous development
  • Experience from corporate governance; for instance corporate secretarial matters
  • Experience from office infrastructure management
  • Experience from travel management; especially from Concur Travel Management system
  • Experience in people management and development
  • Experience in process development
  • Basic understanding of Procurement and HR processes
  • Demonstrated experience from supporting business and enabling best results
  • Excellent planning and organizing skills
  • Excellent co-operation, communication, and influencing skills
  • Fluent written and spoken English

  • At least a Bachelor\'s degree in a related field
  • Strong problem solving skills
