What this job involves -



Technical Facilities Coordinator will be part of the Workplace Experience team, to drive and increase customer satisfaction. This individual is the go-to-person for all workplace engagement matters.



Site Management

Conduct facilities inspection and generate reports. Look out for defects and manage any hazardous objects accordingly.



Ensure that the meeting rooms are in 'ready-to-use' condition whenever unoccupied.



Ensure that office equipment is in good working condition. Otherwise, rectify immediately



Liaise and manage respective vendors to support the functionality of office space.



Responsible for consolidating all customer issues and generating a monthly report



Manage all customers' issues tactfully and confidently.



Assist to follow up on associates & visitors requests and keep team in the loop.



Liaise & coordinate with stakeholders & vendors for event support and meeting rooms' setup



Ensure all completed PPM & Ad hoc works are according to SLA.



Police the clean desk policy.



Communications

To be attuned with customers, build and establish relationships with stakeholders across all levels.



Share communications collaterals with the JLL team and client.



Administration Duties

Create ad hoc Work Orders. Ensure all Work Orders are sent out, closed and verified within SLA.



Ensure all vendors' invoices are submitted timely, within SLA.



Manage Finance, PPM (52 weeks) and Operation trackers:

ensure details are accurately updated and current.



Ensure all EHS documents and vendors' relevant documents are valid, and facilitate the submission of vendors' Permit to Work for client & landlord's approvals.



Assist in procurement.



Log in all "Good Catches" & "Near Miss" in CMO.



Adhoc responsibilities assigned by Facilities Manager.



Proficient in Microsoft Word, Excel & PowerPoint.



Technical Duties:



Critical rooms water detection alarm responder.



Assist with building annual power shutdown.



Fire Protection Equipment serviceability.



1st Aid equipment serviceability & items validity.



Critical Rooms:



Cooling Water Thermostat: check readings. Serviceability of Water Detector Alarm System. Ensure functionality of FCU in manual mode. Main DB indicators: Sub DB in operation

Others

Check equipment for defects and rectify: TV, pantry appliances, document shredders, paint touch ups of walls & ceilings, tidy up workstation cables & replace faulty lightings, event support standby for electrical issue interruptions, etc. Plumbing: Grey water/ Solenoid valve PPM.

Backup Duties

Assist to liaise with courier for associates' documents/parcels collection. Alert associates when receiving courier docs/parcels. Mailbox checks, sort mail & contact recipients to collect.



Replenish beverages, snacks & stationery at respective areas and store consumption & stationery stock.



Assist in filing and providing front desk support.
