Administrative Coordinator

Work Dynamics

Key Responsibilities:

Administrative Support:

  • Provide general administrative support such as answering phone calls, scheduling appointments, managing calendars, and handling correspondence.
  • Draft, edit, and proofread documents, presentations, and reports.
  • Prepare and process expense reports, purchase orders, and invoices.
  • Maintain and update internal databases, records, and files as required.
Finance Support:
  • Assist with basic finance tasks such as data entry, invoice processing, and expense tracking.
  • Reconcile financial statements and maintain accurate financial records.
  • Assist in managing accounts payable and accounts receivable processes.
  • Support the operations & finance teams in budgeting and forecasting activities.
  • Collaborate with finance stakeholders to gather necessary financial information.
Coordination and Communication:
  • Serve as a central point of contact for internal and external stakeholders, responding to inquiries and directing them to the appropriate person or department as needed.
  • Coordinate and schedule meetings, conferences, and events.
  • Prepare meeting agendas, minutes, and follow-up actions.
  • Collaborate with team members to ensure efficient flow of information and timely completion of tasks.
Project Assistance:
  • Provide assistance in coordinating and organizing projects, including research, data collection, and analysis.
  • Assist in drafting project proposals and presentations.
  • Monitor project timelines and deliverables, ensuring deadlines are met.
  • Support project teams by tracking project expenses, maintaining project files, and assisting with reporting.
Office Management:
  • Keep office supplies adequately stocked and place orders when necessary.
  • Coordinate office improvement projects, including renovations, repairs, and maintenance.
  • Manage travel arrangements and accommodations for staff members.
  • Support in coordinating orientations and onboarding processes for new hires.
Qualifications:
  • High school diploma or equivalent is required. Additional certifications in office administration or financial management are a plus.
  • Proven experience as an administrative coordinator or in a similar role.
  • Basic understanding of finance processes and principles.
  • Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant tools.
  • Excellent organizational and time management skills.
  • Strong written and verbal communication abilities.
  • High level of professionalism and ability to handle confidential information with discretion.
  • Ability to work independently and collaboratively in a fast-paced environment.
  • Strong attention to detail and accuracy.
  • Flexibility and adaptability to changing priorities and demands.
As an Administrative Coordinator, including basic finance work, you will play a crucial role in supporting both administrative and finance functions of the organization. Your work will contribute to the overall success and effectiveness of the organization by ensuring smooth operations, facilitating efficient communication, and maintaining accurate financial records.
