Job Description

Admin duties: * Contact point for the office building facilities management * Oversee office and meeting rooms housekeeping, maintenance and cleanliness * Manage office admin Admin duties: Contact point for the office building facilities management Oversee office and meeting rooms housekeeping, maintenance and cleanliness Manage office administration including but not limited to procurement of office and pantry supplies, stationary supplies, etc Be the mail person of the company Consolidate office invoices and submit reimbursement for payment Oversee fixed assets which includes office desktops or laptops purchasing, filing and recording Handle company secretary matters, including but not limited to liaise with secretary firms to handle ACRA related docs Assist on staff air tickets, travel accommodation booking upon request Provide IT support by coordinating Headquarters IT department and local outsourced IT vendors Other ad hoc duties as required HR duties: Assist on recruitment matters, drafting office vacancy Job JD, advertising and shortlisting candidates for interview arrangement Assist on new hire on-boarding matters, office email/OA account/seating/desktop set-up, updating new hire basic personal info in HR system/OA system/attendance record/staff list, preparing new name card Assist on internal training, collecting training needs, arranging training venue, submitting training expenses claims Assist on office staff medical insurance matters and WIC matters Manage office attendance, monthly uploading to HR system, consolidating data and submit to HQ HR department Assist on off-boarding process, formalizing resignation approval, terminating all company access, e.g. OA/email/SAP, removing from OA/manual staff list, tax clearance matters for EP/SP holders/drafting resignation confirmation Other ad hoc duties as required Job Requirements: Diploma and above holder. With at least 2 years of working experience in the related field is required for this position Able to work with tight deadlines, proactive, meticulous working attitude Familiar with Microsoft Word, Excel, Power Point, basic Outlook IT knowledge Good communication skills and likes to interact with all levels of people
