We are seeking a highly organised, reliable and resourceful Admin Executive to support the CEO in managing administrative, coordination, and documentation matters. This role provides structured administrative and operational support to ensure the CEO's day-to-day activities, records, and priorities are managed efficiently and professionally.
The ideal candidate is detail-oriented, proactive, and able to handle confidential information with discretion, while working independently and adapting to changing priorities.
Key Responsibilities
Administrative & Personal Support
Handle all personal administrative matters of the CEO.
Manage filing, tracking, and tallying of personal expenses.
Organize and maintain files, records, and spreadsheets.
Draft, edit, and prepare correspondences, reports, and documents.
Project & Task Support
Support ad hoc tasks and projects assigned by the CEO, including coordination, submissions, applications, and follow-ups.
Assist with documentation accuracy, completeness, and timely submission.
Take meeting minutes when required, track action items, and follow up to ensure closure.
Provide administrative support for internal and external coordination matters.
Financial & Claims Management
Prepare and submit expense claims, reimbursements, and payment-related documentation in a timely manner.
Reconcile expenses and prepare clear summaries for review and approval.
Maintain proper records to support audit and internal control requirements.
Travel & Logistics
Coordinate travel arrangements, including flight bookings, accommodation, and itineraries when required.
Assist in managing schedules, appointments, and meetings to support effective time management.
Coordinate logistics for meetings, events, or appointments as assigned.
General Administration
Handle day-to-day administrative matters with a high level of professionalism.
Maintain strict confidentiality and discretion in all aspects of work.
Requirements
Bachelor's Degree in Business Administration, Management, or related discipline.
Minimum 3 years of relevant experience as a Personal Assistant, Executive Assistant, or in a similar role.
Strong organizational and time management skills with the ability to multitask.
Excellent written and verbal communication skills.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace.
High level of professionalism, discretion, and integrity.
Ability to work independently while maintaining flexibility to support changing priorities.
