Job Description

Job Purpose

Provides administrative, budget, logistical & procurement support to a team of up to 20 personnel in the Group Safety & Security department, as well as being the department's Kaizen Officer, Cost Centre Manager, Assets Officer and Training Manager.

Responsibilities

1. Organise and maintain an effective Knowledge Management System for information and data, including SMRT intranet relating to Safety, Security and BCM document depository, while ensuring data confidentiality and security, in accordance with PDPA and company's policy.
2. As the Kaizen Officer, manage and coordinate the improvement and innovation projects with dept staff.
3. As part of ESG, coordinate the sustainability drive in the dept. Responsible to facilitate electronic signing of documents and digitalise previous hardcopies for retention, if required.
4. As the Cost Centre Manager, plan and manage dept's budget and expenditures. Where required, generate report on dept budget expenditure for reporting purposes.
5. Facilitate and support dept submissions for logistical and procurement of goods and services, reimbursements and payments, in accordance with the Financial Policy Manual and Procurement Policy Manual.
6. As the Assets Officer, manage dept's fixed assets in accordance with the Financial Policy Manual.
7. Maintain the office supplies inventory level and place order to ensure continuous supply.
8. Liaise with contractor/vendors/service providers for all office facilities-related maintenance.
9. As the Training Manager, plan and coordinate the training requirements of dept staff.
10. Manage and deconflict schedules for meetings and booking meeting rooms.
11. Manage and process requests for security screening of external personnel where required.

Qualifications & Work Experience

  • 5 years' relevant work experience
  • GCE 'N', 'O' Level, ITE or Equivalent
  • Certificate in Office Skill is an advantage
Skills

Technical skills include:
  • Proficient in MS Office - Words, Excel, PowerPoint, Outlook, OneDrive and Microsoft Teams
  • Familiar with SAP Applications, SharePoint, KM Applications and Adobe Sign
Generic skills include:
  • Good organisation, time management and scheduling skills
  • Meticulous
  • Strong interpersonal and communication skills to work with various levels of people
  • Ability to multitask and complete tasks under tight deadline
  • Ability to learn and adapt in the organisation
