Job Description


UWCSEA has a 2-months contract vacancy for a Administrative Assistant (Procurement) with the start date from March 2024.

Reporting to the Procurement Manager, the incumbent will work closely with other team members in the Procurement department to ensure efficient compliant purchases for all purchases below the tender level for both campuses. Although the role is across both campuses, the Administrative Assistant will be based on the East campus.

Main Responsibilities

  • Responsible for sourcing and negotiating for goods or services from both local and overseas Suppliers; Evaluate Suppliers\xe2\x80\x99 quotations to ensure that they are compliant with the requirements provided by the requesting department; Negotiate with Suppliers to secure the best possible outcome for the College.
  • Diligently performing daily operational Procurement processes such as following up on Purchase Orders, ensuring all purchase requisitions are verified and approved according to the delegation of authority policy
  • Guide requestors to ensure that all requirements and scope of works are clearly defined before sourcing from the market
  • Assist in the preparation of detailed Procurement reports
  • Other administrative duties within the department where necessary
Person Specifications
  • Minimum qualification business-related diploma. Ideally, procurement related. Fresh graduates are welcome to apply.
  • Able to think logically and formulate processes
  • Strong analytical and negotiation skills with an attention to detail and meticulous with numbers
  • Familiar working with Google Suite, Microsoft Office, and/or Mac OSX productivity apps with excellent written and spoken English
  • Able to work well with both external and internal stakeholders
  • A positive work attitude and a high level of integrity is essential
  • Able to work cohesively in a team-based environment as well as independently
  • Able to multi-task and deliver results in a multicultural environment
