Job Description


UWCSEA Dover is seeking an experienced Administrative Executive (Community Activities Programme) Maternity Cover from April 2023 to end July 2023.

The working hours for this role will be Monday through Saturday with an off day on weekdays to be determined.

Reporting to the Head of Community Programmes (CAP), the incumbent will support the administration and the monitoring of the Community Activities Programme (including the Holiday Activities Programme (HAP) at UWCSEA Dover Campus.

Main Responsibilities

  • Community Activity Programme (CAP) Development and Administration
  • Work closely with the CAP manager in administering the CAP:
Monitoring the programmes attendance registers, liaising with providers, updating programme data in the college system and jotform; managing inventory, maintaining and developing the CAP website and financials.

Keep track of the CAP P&L of all individual programmes and information regarding coach ratios, pricing of programmes, and also look at the potential to introduce new programmes and growing existing ones.

Support and manage the CAP marketing and communication of information for programmes conducted and liaise with Comms and Marketing on CAP celebrations, photographs and write-ups for perspectives and ebrief posts. Support and manage the social media for CAP

Liaison point for parents and students for either digital, telephone or face to face enquiries. * Work collaboratively with various internal departments (Security, Clinic, Sodexo and Facilities) to ensure the smooth delivery of all CAP programmes.
  • Liaise with the CAP Manager in administering the Sports Service Coaching Programme for Grade 9 and 11.
  • Observe & monitor all CAP programmes and provide feedback on instructors\' ability to deliver UWCSEA instructor standards. Administrate the collection of customer feedback.
  • Adhere to the confidentiality requirement of the College for Data protection
Person Specifications
  • Diploma / Degree in Sports Management or certificate or the equivalent
  • Administration experience regarding sports and/or activities programming and events management
  • Experience in similar administrative or sports and activities in context within the Singapore community and school environment.
  • Experience with budgeting/bookkeeping and proficiency with Google Email and Drive; include basic Google programmes such as Sheets, Docs, Slides, Sites, and Forms will be an advantage and working knowledge of Mac platform/Google Suite and collaborative software such as google calendar and event planning.
  • Able to work cohesively in a team-based environment as well as independently and flexibly with people of different levels.

  • Must be resilient, patient and works proactively in providing support
