Job Description


Administrative Executive (Medical Affairs Department) 5-day work week

The Executive, Medical Affairs will be responsible for providing administrative support for the Medical Affairs Department and Medical Advisory Board Subcommittees.

Responsibilities:

  • Ensure incoming applications for accreditation by doctors are completed and required documents are submitted in full before processing and submission to the Accreditation and Credentialing committee for review.
  • Carrying out the reaccreditation process timely for accredited doctors that are due for renewal of accreditation.
  • Coordinate and provide secretariat support to Medical Advisory Board (MAB) Subcommittees and Quality Assurance Committees (QACs).
  • Attends Mortality & Morbidity Review Committee (M&M) meetings and ensures meeting minutes are documented accurately and approved minutes circulated timely.
  • Coordinate and organize Continuing Medical Education (CME) talks and in house Peer Review Learning (PRL) sessions for doctors and TMC staff. Submit CME points, PRL summary slides and attendance to Singapore Medical Council (SMC).
  • Ensure that venue and catering are executed promptly for Medical Advisory Board (MAB) Subcommittees / QACs, CMEs and PRLs.
  • Monitor and track all accredited doctors\xe2\x80\x99 documents are up to date (e.g. SMC Practicing Certificate, BCLS and Malpractice insurance).
  • Ensure that the announcement of Doctor\xe2\x80\x99s Leave of Absence (including information of covering doctor) is disseminated accurately and promptly to all relevant clinical service areas within TMC.
  • Ensure the Medical Affairs\xe2\x80\x99 Department doctors master list is updated accurately/timely and contact details are accurate.
  • Ensure the TMC\xe2\x80\x99s intranet list of accredited doctors and doctors able to perform Termination of Pregnancy (TOP) are updated accurately/timely and contact details are accurate.
  • Assist with the transfer of past doctors\xe2\x80\x99 physical records to electronic format.

Requirements:
  • Bachelor\xe2\x80\x99s Degree Health / Life Science or any relevant discipline.
  • At least 2 years of relevant healthcare experience will be preferred.
  • Experience in Healthcare, Administration and Secretariat work is advantageous.
  • Good oral, written and presentation skills.
  • Ability to work under pressure and good inter-personal skills.
  • Proficient in Microsoft Office.
