Job Description


The Role

Functions as the Peer Review Learning (PRL) Coordinator for IHH SG Hospitals (IHH) Medical Affairs.

  • Annual review of PRL Standard Operating Policy (SOP)
  • Ensures organization compliance with MOH Directives on PRL.
  • Ensures that Site Medical Affairs schedules and coordinate PRL sessions in line with SOP
  • Ensures that PRL Quality Assurance Forms are completed and filled.
  • Compiles PRL doctors attendance records
  • Sends reminder / warning letters to doctors, where applicable and in a timely manner.
  • Prepare and upload spreadsheet for PRL scheduling and capture attendance.
PRL Coordinator at MEH
  • Coordinate with the Specialty Interest Group (SIG) Representatives to organise PRL sessions for the Top 10 Specialties in compliance with MOH PRL Directives.
  • Coordinate with SIG Representatives to confirm speakers.
  • Send out calendar / notice of PRL sessions in a timely manner including reminders. 2.4 Track doctors attendance and update spreadsheet.
Audits
  • Assist the HOD with preparations for JCI and PRL Licensing audits.
  • For MOH, assist to ensure that hospital level processes, in relation to Medical Affairs PRL matters are compliant to PHMC Licensing Terms and Conditions.
  • Conduct Operating Theatre Audits on the procedures performed and the surgical team in compliance with Ministry of Health (MOH) requirements.
Accident & Emergency Roster
  • Prepare admission data and admission projections and new doctor request
  • Meet and discuss with Chief Executive Officer (CEO) Forecast on (4.1) to confirm doctors to be retained / added / removed
  • Prepare roster based (4.2) and prospective leave projections.
  • Revise roster based on doctors instructions.
  • Disseminate roster to Doctors on the roster and internal departments.
  • Revise roster based on doctors leave and coverage following (4.5).
Secretariat to the Medical Advisory Board, Standing Committee and SIGs
  • Organising the large number of meetings and working on the Agenda with the Chairpersons and internal stakeholders before the meeting.
  • Minute meetings and ensure follow-up up actions with the various stakeholders are completed before the next ting.
  • Senior Executive is responsible for organising talks for SIGs and working with the doctors to schedule them as speakers eg Dental, Xray Rounds (covering multi-disciplinary specialties including Radiologists).
  • Support in the Medical Advisory Board election process \xe2\x80\x93 process that involves 3 months of work. undefined.

  • Timeliness, accuracy, and comprehensiveness in meeting the needs of accredited doctors and hospital management.
  • Timeliness, accuracy, and savviness in communicating issues to accredited doctors and / or hospital management.
  • Level of rapport with accredited doctors and hospital management.
  • Effective troubleshooting of day-to-day operational issues.
  • Efficiency and thoroughness in planning meetings, audits, and other events for the medical staff organisation.
  • Accuracy, simplicity, and neatness of organisation in the maintenance of personnel files, databases, and contact lists.
  • Ability to work independently with a high level of initiative and good application of judgement.
  • Demonstration of soft skills in handling difficult interpersonal situations involving hospital staff and / or accredited doctors.
  • Non-disclosure of confidential info to external parties.
Qualifications & Experience
  • Diploma or Degree (Fresh Graduate)
  • Good command of English (both spoken and written)
