WHAT YOU WILL DO:

This is an individual contributor role. In this role, you will also be responsible for providing general administrative support for the Quality department:
  • Provides administrative support, maintains office supplies, backup support
  • Maintains department files, documents, and records, prepares monthly/periodic reports
  • Manages and maintains department documentation, including job aids, procedures
  • Provides project management support including communication activities across the group e.g., publishing metrics, newsletters, deadlines
  • Ensuring the overall performance and results of the assigned area, while driving quality culture
  • Driving collaboration and transformational culture change
Key Responsibilities:
  • Provides administrative and public affairs support for department, including support for department leader maintains calendar, arranges meetings, manages cadence of communication, and event management
  • Maintains department notice boards, schedules, and performance charts
  • Manages telephone calls, queries, and tele-conferences
  • Prepares memos, letters, meeting minutes and reports Coordinates department new hire orientation
  • Maintains department organization chart and initiates people/role change forms Schedules appointments and coordinates meetings
  • Arranges travel, including visa, flight and hotel reservations.
  • Coordinates visitor schedule and provides support as required
  • Prepares monthly/periodic results reports for department, including budget, headcount and profit reports
  • Performance reports and project updates
  • Maintains office equipment, stationery and inventory for department, including office supplies (stationary, consumables, other), generates requisitions when inventory meets re-order quantity, maintains appropriate inventory levels
  • Performs standard work area setup for new/transfer employees
  • Checks invoices and delivery orders to ensure goods received, resolves any discrepancies, files invoices and delivery orders
  • Provides site support, including, participating in committees and projects
  • Supports a continuous improvement framework within the department team and works with department leader to identify and implement improvements. Keys and maintains department metrics data
WHAT YOU MUST HAVE

To be successful in this role, you will have:

Qualifications & Experience
  • 3-5 years of applied professional work experience relevant to the key attributes of this role
  • Demonstrated experience in change and project management with ability to collaborate with cross functional team for the common goal.
