Provide full administrative support to WWTP team, Finance department and Procurement department and HR.
Main tasks / activities / responsibilities
Perform daily data entry tasks and updating to the accounting system such as open new job number, sales and project progress, sales order book, project costing, etc.
Maintain and update all other relevant information in manual and/or electronic files.
Assist in updating and maintaining staffs\xe2\x80\x99 leave/MC records.
Monitor and record staffs\xe2\x80\x99 overtime records.
Check and verify the operation staff attendance list
Maintain staff performance record.
Assist in PR filing, Monitoring Budget spending etc.
Assist time to time administrative activities within the Operations department
Maintain and monitor PPE records.
Co-ordinate with HR related matter.
Provide support for documents control and set up files as required, prepare and maintain files.
Liaise with clients such as requesting for client\xe2\x80\x99s purchase order, and ensure that documents are successfully delivered to clients.
Ensure monthly sales order figures are submitted by respective project managers/engineers on timely manner.
Generate weekly project order book report for Manager.
Assist in preparing and consolidating of huddle reports for the departments.
Liaise and provide relevant reports as requested by other departments.
Any other ad hoc duties as assigned.
Job requirements (education, linguistic ability, professional experience, leadership qualities, soft skills etc.)
Minimum \xe2\x80\x98N\xe2\x80\x99 / \xe2\x80\x98O\xe2\x80\x99 Levels with 2 years of administration experience.
Proficient in MS Office.
Proficient in both English & Mandarin in order to liaise with Mandarin speaking associates.
Ability to multi-task effectively.
Able to work effectively both as a member of a team or independently.
Experience with organizing documents, minutes and reports.
