Job Description


POSITION SUMMARY

The Administrator position is responsible for the professional and efficient in assisting the general administrations and operations of the office as well as supporting the underwriting team in secretarial function and any other related duties. In addition, assist the Finance team with some technical accounting administration tasks.

DUTIES & RESPONSIBILITIES

Support to Key Management & Underwriting Team

  • Arrangement of business travel for key management and the underwriting team. To ensure cost efficiency by doing due diligent checks (flights, hotels, etc) in the best interest of the company and also to take into consideration the safety aspect of the company.
  • Assist in reimbursement of travel & entertainment expenses for the key management.
  • Administrative support to the underwriting team during treaty renewals.
  • Taking minutes for meetings.
  • To deputize Executive Assistant to CEO (during period of absence) in secretarial function.
Client Management Support
  • Responsible for the input and data maintenance of the client contact database.
  • Greet clients, advise appropriate staff of visitor arrival, and offer refreshments.
  • Using Outlook, schedule and organize meetings for internal and external clients:
  • Coordinate booking of conference rooms and/or conference calls
  • Ensure equipment (Laptops, TV, charts, etc.) requested is available.
  • Prior to meeting, print and bind documents and distribute as required.
General Office Administration
  • Maintain meeting rooms - notify person in-charged (IT team/ building management) if any maintenance required (i.e. IT equipment not working, light bulbs out).
  • Coordinate with IT Helpdesk to assist and support all staff in resolving IT related issues.
  • Operate a multi-line phone system and answering the main switchboard.
  • Organize and set-up working luncheons.
  • Maintenance of pantry supplies and also to ensure that office stationery (ie. printer cartridges/ papers) are adequately stocked.
  • Coordinate with employees on the ordering of business cards from the printing supplier.
  • Sort and distribute daily incoming mails; manage outgoing mails, arrange messenger /courier pick-ups.
  • Prepare courier (eg .Fed-Ex) waybills and track shipments upon request. Reconcile Fed-Ex invoices on a monthly basis.
  • Arrange ground transportation upon request, reconcile invoices and code for payment.
  • Verify shipments against invoices and examine upon arrival, reconcile and code invoices.
  • Run ad-hoc errands (eg. Banking of cheque) documents by hand.
  • Other duties as assigned.
Technical Accounting Administration
  • Checking and confirming the proportional quarterly statements received from brokers/ cedants.
REQUIRED SKILLS AND EXPERIENCE
  • High School Diploma or equivalent
  • Proficiency with the Microsoft Office Suite of applications,
  • Proven organizational and timekeeping skills and a strong sense of attention to detail are essential
  • Excellent verbal and written communication skills i.e. a thorough command of the English language including excellent spelling, grammar and punctuation.
  • The ability to deal effectively and courteously with clients and colleagues, and to exercise discretion and confidentiality in all matters.
