Business Function

Group Technology and Operations (T&O) enables and empowers the bank with an efficient, nimble and resilient infrastructure through a strategic focus on productivity, quality & control, technology, people capability and innovation. In Group T&O, we manage the majority of the Bank\'s operational processes and inspire to delight our business partners through our multiple banking delivery channels.

We are looking for a committed, detailed and results-driven professional to provide general central functions support around HR, Procurement, Finance, Office Administration for our Department.

Responsibilities

(1) Key Accountabilities

  • Support in end-to-end staff onboarding / offboarding process
  • Support in administration and enquiries in areas such as recruitment, procurement, finance, office logistics
  • Perform office administrative work and event coordination
(2) Job Responsibilities

The individual will be responsible for providing Central Function Support and Department Office Administration:
  • Staff Journey and Engagement \xe2\x80\x93 Provide support around staff onboarding/offboarding, e.g. laptop preparation and issuance/retrieval, system and office access, staff gift, organization chart update, staff recognitions, staff engagement survey, staff name list.
  • Recruitment and hiring support \xe2\x80\x93 Follow up on hiring approvals and recruitment status.
  • Procurement - Department contract maintenance and renewal, support in raising PR/PO and lodging contracts.
  • Finance Admin \xe2\x80\x93 Support in headcount tracking, charge-out, vendor invoicing and billing.
  • Office Administration \xe2\x80\x93 Office maintenance, e.g. space, environment, cleanliness, office supplies.
  • Provide calendar management/secretarial support to the Head of Department (as a leave coverage for Department Secretary).
  • Provide support to central function enquiries.
  • Coordinate department events and celebrations, e.g. Townhall and refreshment.
  • Other Administrative duties where required, e.g. reports, compliance processes.
Requirements
  • Proven experience as an administrative assistant or office admin assistant.
  • Proficiency in MS Office (MS Outlook, MS Excel and MS PowerPoint in particular).
  • Excellent time management skills and the ability to prioritise work.
  • High work quality, attention to detail and take initiative to solve problems.
  • Ability and eagerness to plan events for the Department.
  • Strong organizational skills with the ability to multi-task.
  • Strong interpersonal skills.
  • Good working attitude with strong work ethics and commitment to meeting deadlines.
  • Collaborative, team player.
  • Adherence to financial information confidentiality.
