Mandai Nature is dedicated to advancing efforts on biodiversity conservation in Asia, with a focus on averting species extinction, especially in Southeast Asia by delivering conservation programmes at scale with partners, as well as convening partnerships and collaborative alliances to address critical conservation outcomes. As the conservation arm of Mandai Wildlife Group, we also work closely with the Group to apply holistic conservation approaches by integrating ex situ and in situ conservation action.

The IUCN SSC Asian Species Action Partnership (ASAP) is the largest coalition of organisations working to save some of Southeast Asia\'s most threathened species from extinction. ASAP works to catalyse conservation for Critically Endangered land and freshwater vertebrate species found in Southeast Asia through strong partnerships and bespoke support. By building connections and increasing visibillity, ASAP supports its Partners to deliver vital conservation work in a region that, without urgent intervention, will lose much of its unique and rich biodiversity.

ASAP is hosted by Mandai Nature.

We are seeking a self-driven and motivated individual to support the ASAP Partnership. The position will support the implementation of the ASAP Strategy which identifies 4 key areas of intervention:

  • Amplifying funding and knowledge;
  • Investing in people;
  • Strengthening local organisations; and
  • Fostering a dynamic partnership.
The successful candidate will be interested in developing a career in conservation with the drive and interest to learn abbout conservation in Southeast Asia, be flexible, and with personal drive and initiative. They will be a highly organised individual, with excellent attendtion to detail.

Having experience in providing administrative and coordination support, including the management of databases, would be advantageous.

The successful candidate will be part of the ASAP Secretariat.

Main Duties and Responsibilities:

The successful candidate will support the implementation of the ASAP strategy by providing a wide range of administrative and coordination support including data entry and database management, workshop organisation, grant management, ASAP Partnership support, and travel logistics. This will include the following:
  • Support data entry for all forms of support provided to ASAP partners (e.g., grants, training, networking).
  • Assist with applications to the ASAP Partnership and support the onboarding process for new partners.
  • Manage the Partner database: update new contact details and ensure alignment between the Partner database and the website.
  • Assist in updating the ASAP website.
  • Organise weekly team meetings, Board meetings and take meeting minutes.
  • Assist with financial processes such as liasing with the Finance Department to process invoices and payments.
  • Assist with the production of administrative documents for processing grants and contracts and tracking important timelines and deadlines.
  • Organise meetings and logistics, including travel plans, flights, accommodation etc.
  • Support the development, planning and implementation of workshops and webinars.
  • Lead on workshop and meeting organisation and coordination including finding suitable venues for in-person meetings and coordinate outreach to attendees.
  • Support the organisation and administration of ASAP training opportunities.
  • Liaise with external stakeholders including conservation organisations, donors and Board members.
  • Manage the funding and training opportunity database: check for new deadlines on a regular basis and conduct online searches for new opportunities.
  • Integrate information gathered through surveys to the Partner database.
  • Manage updates to the ASAP Species database.
Requirements:

\xc2\xb7 Relevant experience in the following:

coordinating projects

organising logistics

providing administrative support to a team or an organisation

\xc2\xb7 Highly organised, with excellent attention to detail

\xc2\xb7 Ability to take the initiative and work independently, creatively and with flexibility (including in a work from home environment).

\xc2\xb7 Strong communication skills and fluency in written and spoken English is essential; fluency in and Southeast Asian language is an advantage.

\xc2\xb7 Highly skilled to work in MS Windows environment (Word, Excel, Powerpoint, Outlook and SharePoint).

\xc2\xb7 Experience managing databases and with data entry.

\xc2\xb7 Demonstrable experience of priortising and managing work time independently.

\xc2\xb7 Track record of working as a team member with excellent interpersonal skills in a multicultural environment.

Desirable skills and experience

\xc2\xb7 Experience developing databases

\xc2\xb7 Proficiency in a Southeast Asian language

\xc2\xb7 Experience working in an environment / wildlife conservation non-profit

\xc2\xb7 Experience in a grant making programme.

\xc2\xb7 Experience working with a diverse set of partner organisations and external stakeholders.
