This role will report to The Common Ground group Community Manager.

Primary Responsibilities :

  • Provide front desk support – Managing Coworking members’ tenancy and account which includes rental payment, mail, meeting/event space booking.
  • Manage all building operations and communicate with external vendors to ensure the highest level of tenant satisfaction with the physical space.
  • Develop community initiatives designed to create connections between tenants, including introductions and connections.
  • Solve tenant-related issues to ensure a close knit community and manage tenants expectations.
  • Check in with tenants to build relationships and seek feedback and act upon it in a timely manner.
  • Oversee community events to ensure there is a good balance of networking, tenant appreciation and lead generating and sales-related events.
  • Proactively keep tabs on members’ business objectives and need to identify ways that The Common Ground can help them grow.
  • Identify opportunities and act on them to connect tenants when necessary.
  • Design and implement rules, guidelines and best practices for the community to optimize tenant experience.
  • Recommend best practices, including but not limited to community management, sales and events.
  • Vet through potential leads, including possibly gatekeeping where business may not be in the interests of the community.
  • Explain policies and procedures to tenants, including but not limited to membership agreement and billing procedures.
  • Participate in departmental planning and design meetings, as well as brainstorming sessions.
  • Assist to create event designs, drawings and renderings for company’s events, following company policies, procedures and practices.
  • Assist in content development and copy writing for social media, EDMs, collaterals, and campaigns
  • Maintaining meaningful relationships with existing clients to ensure that they are retained.

Building Management :
  • Make recommendations to the Chief Executive Officer and Chief Operating Officer on any repairs, maintenance and upgrading within the space.
  • Monitor and set priorities based on feedback and clearly communicate adjustments to the team.
  • Review all documents to ensure licenses and maintenance contracts are updated and accurate.
  • Supervise move-ins and move-outs for a quality experience.

Requirements :
  • Excellent verbal communication skills.
  • Excellent writing skills.
  • Excellent interpersonal and presentation skills.
  • Hands-on experience with social media management.
  • Knowledge of online marketing
  • Attention to detail, critical thinker and problem solver
  • Thrive in a customer facing role
  • Willingness to work around the clock (being an Assistant Community Manager means that the job
involves working some evenings and weekends, and responding to community members outside of work hours).
  • Basic accounting skills (needs to know how to issue invoices and process payments. He/she also needs to be able to manage the account book to track the cash inflow/outflow).
  • UI/ UX experience would be advantageous.
