Job Description


The staff is responsible for managing the assigned functions in General Services.

You will be responsible for the following:

Primary Responsibilities and Duties (80%)

Manages the operation and systems, as well as reviews and improvements of the functional units in OSS-General Services:

  • Security Operation
  • Ensure the clear administration of policy
  • Management of service vendors performance in terms of maintenance, breakdown response and cost of service of the key systems (Card access, CCTV, Carpark, walkie talkie)
  • Proper maintenance of the overall master key and process of key issuance, audit and changes.
  • Review the various Code Black, feedback, ehor cases raised and recommend improvement and changes where necessary.
  • Work closely with Queenstown NPC for the investigation and review of cases reported from AH and takes necessary and relevant actions to help the hospital in reducing them.
  • Conduct of regular dialogue session with staff
  • Fire Safety
  • Oversee the maintenance of all fire safety works in the workplace
  • Conduct checks with FSM within the premises and remove or cause to be removed any fire hazard that is found within the workplace
  • Prepare and execute the Emergency Response Plan
  • Prepare fire safety guidebooks
  • Train, coordinate and supervise the Company Emergency Response Team for the premises in first-aid, fire-fighting and evacuation in the event of a fire or other related emergencies
  • Co-ordinate and supervise the occupants within the premises in firefighting and in evacuation in the event of a fire or other related emergencies
  • Organize campaigns, training courses, competitions, contests and other activities that will develop and maintain the interest of the occupants within the premises in establishing a fire-safe environment.
  • Mail services
  • Ensure service availability for courier, franking, receiving and sending of mails and sorting services.
  • Work with departments to ensure smooth mail/document movement in/out and within hospital and departments.
  • Manages the mailboxes issuances and updating of users
  • Telecommunication
  • Ensure the clear administration of the Handphone and Handphone Allowance policy.
  • Manage the department handphones issued to support operational needs
  • Supports the management need for Blackberry services.
  • Management of the service vendor \'s performance in terms of maintenance performance and timely response
  • Coordinate with telco operators to ensure prompt support for hospital telco needs (handphone, line services etc)
  • Review and manage the telco resources to meet hospitals current and future development needs (extension numbers, ISDN trunk etc)
  • Work with departments to review operational need and support (e.g call centre, PRD, clinics, wards etc)
  • A/V Services
  • Oversee AV project delivery, operate AV equipment as needed, and ensure on-time completion.
  • Responsible for coordinating resources and the budget.
  • Prepare room audits to verify that equipment runs at the optimum level
  • Provide operation reports and project updates as requested.
  • Mortuary Service
  • Oversees the Mortuary office and the body/parts storage facilities.
  • Ensure the availability of Death Registration Service
  • Liaison with relevant ministry in establishing process and controls at Mortuary (e.g RBD, NEA, MOH)
  • Ensure the policy and procedures are documented and staff working or supporting the work are briefed and carry out their duties diligently and correctly.
  • Review with authorities and Medical Affairs on any query or clarification on the CCOD / Death Certificates
  • Events
  • Perform tasks such as finding and booking venues, liaising with clients and suppliers, handling logistics, managing risk and presenting post-event reports (if any)
  • Photocopier
  • Provide and support copier services for existing and new workplace
  • Handles service feedback and review/improvement to the services.
  • Review and propose new initiatives to improve the services.
  • Ensure timely review of service/lease/licence contract terms and conditions and cost of services/contracts.
  • Work with the various functions to manage and review the feedback / incidents and ensure corrective action and necessary follow up on discipline or workflow update is done
Secondary Responsibilities and Duties (20%)
  • Handles Staff Development and discipline.
  • Timely completion of assigned projects within approved budget amount.
  • To review training plan of direct staff
  • Maintenance of respective functional unit\'s SOPs and documentations.
