If you share our vision and possess the qualities we seek, join us!What you will be working on:As a Records Management and Procurement Specialist, where you\'ll play a vital role as part of a member in the Corporate Division ensuring the efficient management of Ministry of Transport (MOT)\'s records, information, procurement, compliance, and governance. Responsibilities includes and not limited to: Strategic Management: Being part of a dynamic team that leads both MOT\'s records management and procurement strategy, including reviewing taxonomy and metadata structures to ensure effective organization and retrieval of information. Ensuring the Transparency, Open and Fair competition and Value for Money for Government procurement. Systems Oversight: Manage MOT\'s records management systems, ensuring they are up-to-date, user-friendly, and compliant with regulations. Collaboration: Liaise with the National Archives of Singapore and internal divisions to facilitate records appraisal, transfer, disposition, and declassification processes. Performance Evaluation: Analyse filing activities and assess the effectiveness of MOT\'s record management systems, recommending improvements as needed. Staff Training: Plan and coordinate data strategy initiatives and sharing sessions to educate MOT staff on records management, procurement requirements and processes, promoting a culture of compliance and efficiency. Digitization Projects: Lead the planning and coordination of digitization exercises for MOT\'s records, ensuring the preservation and accessibility of valuable information. Administrative Support: Manage day-to-day operations for MOT\'s reading list and Official Gifts, ensuring timely processing and compliance with guidelines. Interagency Coordination: Collate returns/requests from other government agencies, facilitating seamless information exchange and cooperation. Procurement: Oversee the Ministry\'s procurement operations, including reviewing proposals and requirement specifications, providing guidance on policies and processes, and managing quotation and tender exercises via GeBIZ. Communication: Develop and produce collateral to support publicity and internal communication efforts related to records management and procurement initiatives. Compliance and Governance: Conduct routine business analytics on records management and procurement to ensure adherence to regulations and enhance process efficiency for optimal outcomes. Ad Hoc Tasks: Undertake any other duties as assigned by the Division Director or Section Head, contributing to the overall effectiveness of Ministry of Transport\'s Corporate Division.What we are looking for:The officer should have some relevant working experience. The officer should possess good interpersonal, organisational, written and communication skills.
