Asst HR Executive Pioneer Road, S\'pore $3,800 to 4,600 per month Permanent Full-Time (6 days: Mon-Sat 9.00am to 5.20pm)

Roles & Responsibilities

Job Responsibilities:

  • Admin/Secretarial and operational support to Directors, Business Development & Project Manager/Project Management Team to ensure smooth running of operations.
  • Support Directors and managers in preparing proposals, sales presentations, correspondences and transmissions.
- Assist in customer tenders including preparation of all required documents, including control of documents. - Source, evaluate, negotiate, purchase and liaise with local and international suppliers to fulfil quality and meet delivery lead time.
  • Monitor closely with warehouse/shipping agency and surveyors/operations teams to ensure timely delivery/receipt.
  • Systematic filing and upkeep of project documentation in both soft and hard copies.
- Take minutes of meetings and keep records for operations and project teams. - Monitor and process project claims and purchases.
  • Coordinate in pleasure/commercial craft projects such as ferry building, yacht maintenance, marketing, licensing including crew management whenever necessary.
  • Support clients and their representatives with project team / project office in our premises to ensure smooth running of projects.
  • Assist and monitor assignment of workers to projects and worker related matters (MOM, insurance, training and certifications, dormitory, shipyard entry passes, etc)
  • Perform HR duties and work pass administration such as work pass applications, renewal, cancellation and issuance, including on-boarding and off-boarding.
  • Coordinate with all departments on hiring plans, resignations, confirmation and all HR related matters
  • Administer training related matters including coordination or enrolment of internal & external courses, update & maintain training record etc.
  • Handle employee records and manage employee leave & attendance, including leave type, entitlement, application, certificate collection & approval and daily employee\xe2\x80\x99s attendance
  • Ensure timely & accurate submissions in all government and related claims, e.g. CPF, Childcare Leave, Maternity/Paternity Leave, NS makeup claims, income tax (IR8A & IR21) matters etc.
  • Provide advice and handle all employee inquiries on HR-related matters
  • Prepare weekly/monthly reports in a timely and accurate manner
  • Assist in general admin duties including monitoring/ordering company equipment/supplies (photocopier, stationery, refreshments) and adhoc tasks as and when required or assigned.

Job Requirements:
  • Possess a Diploma or Degree in Human Resources or Administrative / Business Studies
  • Minimum of 3 years of relevant working experience with experience on worker management will be added advantages.
  • Ability to work 6 days/week
  • Good communication, writing and interpersonal skills
  • Proficient in Microsoft Office Applications
- A team player with a strong sense of responsibility & self-motivation to get tasks done independently - Able to start immediately or within a short notice
